Minimum Qualifications

Minimum Requirements (Applicant must meet all of the minimum requirements)

1. Must have a minimum of an Associate’s degree;
2. Must have a minimum of five years of full-time or equivalent experience in Continuing Education student registration and data entry;
3. Must have experience with administrative technology and relevant computer software applications that include Termite and Assist or similar applications;
4. Must have a minimum of one year of full-time or equivalent analytic and reporting work experience.

Preferred Qualifications

1. Must have a minimum of a Bachelor’s degree;
2. Experience as a registrar in a higher education setting;
3. Proficiency in a foreign language such as Spanish, an East Slavic language, and/or American Sign Language.

Job Description Summary

Works closely with the Vice-President of Economic & Workforce Development and Con Ed in the planning, organization, and supervision of the College’s registration and student records services for Continuing Education to assist the VP with data for decision-making as it pertains to enrollment, program growth, or decline, and/or opportunities; to engage regularly the Exec.

Director of Strategic Planning and Institutional Research and enrollment teams to ensure Con Ed Div. numbers are included accurately in reports, and provide strategic guidance to the VP; to actively participate in the planning, organization, and supervision of the Continuing Education registration activities with faculty, staff, and our off-site partner opportunities including other College divisions and departments; to participate and oversee Cashiers, Business Office, related to Continuing Education; provide front office function for the Allied Health Building

Duties

1. Provides updates on the enrollment status of programs and provides trending data and leading indicators for decision-making.

2. Maintains a system to ensure accountability and compliance for cash control and financial records.

3. Monitors operations and activities of the Continuing Education records and registration function; work with staff to find solutions and recommends improvements and modifications to practices to ensure compliance; prepares various reports on operations and activities.

4. Leads efforts to update, switch or collaborate with the system office on software and system updates for Con Ed.

5. Makes presentations on behalf of the VP and/or Con Ed division on enrollment, registrations, and compliance updates

6. Interprets, applies staff compliance with College policies and procedures, and federal and state laws and regulations pertaining to disclosure of student information.

7. Leads and participates in the registration, pre-registrations, prepayments, and payments of students for Continuing Education courses and in the maintenance of student records.

8. Processes receipts in accordance with established state accounting procedures.

9. Administers and monitor Con Ed grant funding as necessary and available according to funding guidelines.

10. Assists with preparing the Continuing Education Institutional Class Report, Data Card Report, and other reports for the state and provide the VP with data for decision-making and strategic planning.

11. Coordinates and supervises the registration process including monitoring the registration of Continuing Education students, and information dissemination and verification via transcripts.
12. Coordinates assigned registration activities, looks for efficiencies, and works with the VP to suggest changes and automated opportunities to make it easier for students to register. Works with instructional staff, administrative staff, and other college divisions and departments on the implementation of new processes. 
13. Overseas the implementation of goals and objectives; establish schedules and methods for providing efficient and effective Continuing Education registration and student records services; implement policies and procedures. 
14. Leads and participates in the training of Continuing Education staff in the use of automated registration and student records using Colleague and other software. 
15. Answers questions and provides information to students and the public; investigates complaints and recommends corrective action as necessary to resolve complaints. 
16. Manages and maintains course data and data archives information for all classes. 
17. Records Continuing Education remissions in the A/R Accounts Maintenance/Inquiry. 
18. Maintains receipting and dispensing of petty cash. 
19. Contributes to the College Vision, Mission, Values, and RISE statement.
 20. Supports workforce diversity in all its aspects. 
21. Process sponsorship records for sponsored students, prepare billing statements, and forward them to the sponsored agency. 
22. Serve as backup for cashiers and reporting and compliance specialists. 
23. Performs related duties as assigned.
