The role of the Business Office Specialist is to receive and receipt all funds for the College, perform a variety of technical tasks relative to assigned areas of responsibility.
The Business Office Specialist receives supervision form the Campus Dean, Dare.
Examples of Duties:Provide business services and account information to students, faculty and staff and the public. Duties include:
- Receipt all monies for the Dare Campus
- Complete DCA reports and scan to head cashier and prepare daily cash deposits
- Work closely with Business and Financial Aid on third part accounts
- Deposit all monies
- Handle petty cash funds
- Report to head cashier and distant education coordinator when students pay proctoring fees
- Receipt transcript monies and send requests to transcript department
- Train back-up cashier
- Answer calls concerning cashiering
- Keep inventory of Tele Check supplies
- Maintain knowledge of Datatel, Microsoft Word, Excel, Client Connect, DocuSign, E-procurement, and Live 25
- Work independently in absent of supervision
- Communicate with EC as needed
- Oversee the use and operation of office equipment
- Create forms pertaining to tasks as needed
- Work as a back-up for receiving, processing, and sorting mail
- Work as a back-up for front desks receptionist including issuing college ID cards
- Issue College ID cards.
Other duties include:
- Monitor budgets – county and COA business
- Prepare purchase orders or requisitions for county and COA budgets
- Reconcile budgets each month
- Maintain vendor folders
- Assist in the development of annual budgets
- Notify via email staff and faculty regarding due dates for travel logs and timesheets
- Liaison to COA Bookstore
- Assist Dean as needed
- Assist students
- Complete monthly reports on copier and postage machine
- Assist with transmission of faxes;
- Maintain appropriate supplies including: paper, copier supplies, materials for ID machine, postage meter, fax machine and other cashiering office items;
- Monitor postage meter and copiers for needed maintenance and report maintenance as required;
- Effective working knowledge of Live25
- Ability to troubleshoot equipment when necessary
- Perform other duties as assigned
Unique:
Responsible for working with Business Office and Human Resources.
Specifically:
- Assists HR with annual open enrollment, scheduling staff and faculty for Dare
- Work collectively with Payroll to ensure new hires, terminations, and changes to employment are correct and up to date in Datatel
- Report issues with campus communications equipment;
