Minimum Qualifications

Associate’s degree in Business Administration, Accounting & Finance, Office Administration, Information Technology or related field.

  • At least two years of experience in analyzing data using statistical techniques, implementing and maintaining databases using MS Excel, Office, Word, and One Drive
  • At least two years of demonstrated work experience in an office setting gathering data from primary and secondary sources and identifying, analyzing and interpreting trends from the data
  • Demonstrated work experience with TABE and CASAS testing; if candidate does not have work experience, must earn NCCCS credential
  • Ability to establish and maintain effective working relationships with other employees and the general public
  • Skill in problem solving and working collaboratively
  • Skill in record-keeping, including the ability to establish and maintain electronic and hard copy filing system
  • Skill in task organization and prioritization
  • Strong oral and written communication skills
  • Ability to work in a fast-paced environment with proven ability to prioritize tasks

Preferred Qualifications

Bachelor’s Degree in Information Technology, management information systems, information systems, statistics or computer science.

Position Description

The College and Career Readiness (CCR) Data Specialist is responsible for maintaining state and federal compliance reporting requirements.  The position will provide technical assistance utilizing systems such as  Literary Education Information System (LEIS), Ellucian Colleague and Informer to support full-time staff and part-time instructors in all programs within CCR.  The program includes: Adult Basic Education (ABE), Adult Secondary Education (ASE), Adult High School (AHS), English Language Acquisition (ELA).

The individual is responsible for maintaining student data and reports and submitting accurate monthly and annual data to meet state and federal reporting compliance requirements.

  • Provide customized reports utilizing data retrieval tools for state and federal agencies and demonstrate various methods to keep up with data
  • Demonstrate ability to adapt to new data management systems
  • Provide customized reports utilizing data retrieval tools for the department and institution, i.e. CCR weekly statistical report
  • Assure compliance with state and federal reporting requirements, i.e. monthly flat file
  • Provide supportive data assistance and training on a monthly basis to full-time staff and part-time instructors to meet documentation standards for state and federal reporting
  • Record student LEIS information on a daily basis in Ellucian Colleague/ADVANSYS or another data reporting tool
  • Record new and returning student registrations on a daily basis and/or as needed in Ellucian Colleague/ADVANSYS or another data reporting tool
  • Process weekly, monthly, semester and annual data reporting for the CCR programs to the CCR Director and North Carolina Community College System office
  • Provide technical support and analysis of program data to the CCR Director
  • Participate in all CCR Orientations to ensure immaculate intake of the record keeping process of students
  • Assist with pre- and post-testing of students as determined by the CCR Director
  • Attend training at the regional and state level to assure compliance in Basic Skills data reporting for Ellucian Colleague and Data Warehouse updates
  • Support HiSET Test Administer as needed during testing sessions and serve as back up administrator for HiSET in the absence of the CCR Director
  • Execute Ellucian Informer reports to monitor attainment of North Carolina Community College System goals and performance measures
  • Provide CASAS E-testing, paper based and TABE Class E for individuals as needed
  • Monitor students who need to test and/or retest, communicate testing information to CCR instructors along with a timeline for the student to complete testing or retesting
  • Create CCR courses in Ellucian Colleague for fall, spring and summer at least two weeks prior to the start of class
  • Provide full-time office coverage and assist with answering phones, taking messages, answer questions, and provide information for prospective students, parents, visitors, and stakeholders
  • Serve on college committees, participate in staff development activities and professional organizations

Compliance Review and Reporting

  • Assist with the documentation required for compliance review and other state and federal reporting
  • Assist the Program Accountability Specialist (Non-Credit) with student attendance for ICR reporting purposes
  • Establish and maintain an accurate system of compiling all documentation for compliance review and other state and federal reporting

Perform other related duties as incidental to the work described herein
