MINIMUM EDUCATION QUALIFICATIONS
- High school diploma or HSE/GED plus two years of secretarial/clerical experience OR associate degree in Medical Office Administration, Office Systems Technology, Office Administration, Secretarial Science, or related field required.
MINIMUM EXPERIENCE QUALIFICATIONS
- Proficiency in Microsoft Word and Excel required.
- Demonstrated clerical competencies through internal testing required.
- Familiarity with HIPAA and FERPA regulations and guidelines required.
- PHYSICAL REQUIREMENTS
- Generally works in a traditional climate-controlled office environment and requires the ability to sit for extended periods.
- Some walking, standing, and bending required, and the ability to lift and maneuver items weighing up to 25 pounds required.
- Work environment can be stressful at times in dealing with a wide variety of challenges and deadlines.
- In addition to regular office hours, position sometimes requires overtime and/or evening hours.
Preferred Qualifications
- Experience in using Blackboard preferred.
- Knowledge of content and maintenance of student/client records preferred.
- Knowledge of and experience working with compliance records to include criminal background checks and drug screening reports preferred.
Position Description
SUMMARY
OPEN UNTIL FILLED - Review of applications will begin 4/4/22
Serves as compliance specialist for the Gaston College Health Education students. Acts as the liaison between Gaston College Health Education students and facilities providing co-op and clinical experiences and coordinates the administration and reporting of criminal background checks and drug screen results. Assists Gaston College Health Education students in accessing resources to obtain criminal background checks and drug screening. Serve as the records custodian for results and provide these results as appropriate to healthcare facilities. Provide administrative support for the Division as needed and back-up for the Administrative Assistant for the Health and Human Services Division.
DUTIES AND RESPONSIBILITIES
- Serves as the primary contact for Gaston College Health Education students regarding criminal background checks, drug screenings, and clinical requirements, i.e., immunizations, orientations, and consent forms.
- Serve as the content expert for compliance software.
- Meets with all Gaston College Health Education students required to submit criminal background checks and drug screenings to explain how to obtain the screenings and submit results.
- Maintain strict confidentiality and evaluate results of Gaston College co-op and Health Education students' criminal background checks and drug screenings to determine which results should be reported to facilities providing co-op and clinical experiences.
- Maintain strict confidentiality and provides results of Gaston College Health Education students' criminal background checks and drug screenings to facilities providing clinical experiences as appropriate.
- Maintains strict confidentiality and report as appropriate the names of students deemed unable to attend facilities providing clinical experiences because of results of criminal background checks and drug screenings.
- Maintain strict confidentiality with student medical records.
- Serve on the Regional Area Health Education Center (AHEC) committee and attend quarterly meetings.
- Assist the Director of Nursing by attending clinical placement meetings at clinical agencies as needed.
- Work closely with Dean and Associate Deans to monitor clinical agency contract requirements for students and faculty.
- Distribute weekly compliance reports as appropriate regarding student compliance.
- Prepare revisions of the Health and Human Services health form and other required forms for students and faculty.
- Provide administrative support as needed.
- Work with Human Resources to set up and order criminal background check and drug screening on newly hired Health and Human Services Faculty.
- Serve as back-up to the Administrative Assistant for the Health and Human Services Division for payroll, contracts, and catalog changes.
- Perform other duties as assigned.
