Minimum Qualifications

An Associate’s degree from an accredited community college and three years of responsible program administration experience. Bilingual in Spanish-English or English-Spanish.

Position Description

Assist in registration.

Ensure that facilities are open and ready for class.

Intervene when problems occur, evaluate incidents, take appropriate action, and submit necessary reports/documentation.

Provide instructors with assistance in securing audiovisual aids, equipment, and instructional materials.

Verify the time worked by all instructors and ensure the accuracy of all records and reports submitted to the College.

Monitor Field Trips/Requests.

Communicate instructor tardiness/absenteeism to the appropriate supervisor.

Understand and be able to clearly communicate academic information, including possible programs of study, resources available to students, academic policies, and administrative practices.

Communicate with other offices, departments, and academic divisions as needed in regards to individual student concerns.

Create academic resources, including information guides, posters, and handouts.

Provide general support to visitors.

Confer with and provide administrative staff assistance and advice to executive management staff on administrative matters; develop, prepare, and present recommendations and reports as requested.

Coordinate assigned activities with those of other units, departments, and outside agencies and organizations.

Provide administrative assistance to staff; provide assistance in researching and compiling information and reports for the Associate Vice President and Deans for Curriculum Programs and Corporate and Continuing Education.

Develop, coordinate, and participate in a variety of special research and administrative projects; compile and analyze data and – prepare related recommendations and reports.

Direct curriculum and/or Corporate and Continuing Education Programs, projects, activities, and events as directed.
 

NCCER duties include:

Assist with the NCCER Registry and Testing System functions.

Contact NCCER regarding training-related questions/inquiries.

Input data into the Registry and Testing Systems to include completed Performance Profile sheets and Registration and Release Forms.

Submit Performance Profile Sheets to NCCER.

Submitting personnel certifications in the Registry System.

Enroll new students in NCCER classes and assist in requesting an NCCER card number.

Setting up and maintaining appropriate user access and billing information in the NCCER Testing System.

Order books for NCCER crafts and training certifications.

Provide student complaints, questions, and/or concerns to the Department Chair/Dean.

Maintain thorough records and inform the Department Chair/Dean of any problems or concerns.

Provide Spanish and English-speaking walk-in students with general support with NCCER issues to include current students.

Create and maintain up-to-date resources, information, guides, posters, and standard handouts.

Assist Spanish-speaking students with creating an English resume.

Assist in the development of NCCER and Blackboard students’ and faculty’s performance records.

Submit weekly briefing reports.

 

Curriculum Proctor

Ensures that the NCCER’s guidelines, policies, and procedures in the administration and oversight of NCCER module tests are followed.

Receive and/or maintain current credentials as NCCER Proctor.

Maintain and submit accurate records as required.

Follow all policies and procedures, including any implemented between publication dates of the Accreditation Guidelines.

Communicate with the Sponsor Representative regarding any difficulties or issues arising during testing sessions.

Proctor/Process exams as needed.

Maintain instructor’s folders.

Upon receipt of NCCER certifications, notify the Master Trainer on-site; make a copy for records; contact and arrange for students to pick up or mail their certificates. Place in manila envelope broken down by class and include a signatory sheet.

Participate in NCCER training and stay current on all NCCER’s updates and upgrades.

Participate in FTCC’s NCCER graduations.

Perform related duties as assigned.
