Minimum Qualifications

Required:

  • Associate degree in Business Administration, Office Technology, or related field from a regionally accredited institution; OR any equivalent combination of training and experience which provides the required skills, knowledge and abilities to perform assigned work
  • Three to five years’ experience in an advanced level office position with scheduling and computer experience
  • Possession of and ability to maintain a valid driver's license

Position Description

Position Summary

Under general supervision, Coordinator performs administrative, programmatic, and scheduling functions for the Academic Affairs Division; directs and coordinates all curriculum and instruction program and scheduling related activities, including, but not limited to: the coordination and input of curriculum programs of study into state and local Colleague, collection and cataloging of auditing documents related to programs of study, supports the New Curriculum Program Application Guidelines and process, serves as secretary of the curriculum committee within the division; manages curriculum and instruction catalog updates, testing system patches for implementation in production, preparing room utilization/scheduling reports, and other duties related to the support of the Academic Affairs Division. In addition, this position performs a variety of clerical and secretarial duties; provides assistance to students and division personnel; coordinates the dissemination of information and material within the division. Reports to the Vice President for Academic Affairs/Chief Academic Officer (CAO).

Essential Duties and Responsibilities

  • Coordinate and input curriculum programs of study into state and local Colleague system, ensuring compliance with the North Carolina Community College System (NCCCS) and the State Board of Community Colleges (SBCC) standards and regulations related to programs of study.
  • Oversee maintenance of all curriculum courses in Colleague system.
  • Coordinate the collection and cataloging of auditing documents related to programs of study for curriculum and instruction.
  • Coordinate and prepare updates related to curriculum and instruction catalog information.
  • Assist the CAO in editing and publishing the MCC Catalog, including addendums as needed throughout the academic year.
  • Maintain University of NC General Administration Higher Education Data Additions Validation Edits (DAVE).
  • Serve as the liaison between students and instructors, relay messages and materials as requested.
  • Distribute reports to instructors/advisors; relay information from the administration as needed.
  • Collect, track, and submit compliance reports for the division (i.e. missed class forms and syllabi).
  • Comply with state and College policies and procedures regarding compiling, encoding and publishing of curriculum class schedules; verify accuracy of course schedules; maintain official College calendar in Colleague; maintain buildings and rooms database in Colleague; determine and assign proper facility location.
  • Perform data analysis to promote division objectives through use of Informer, Colleague, and other resources.
  • Answer incoming calls to Academic Affairs office; perform clerical tasks such as bookkeeping, filing, sorting mail, etc.; process equipment and supply orders.
  • Receive, review, process, submit and/or file a documents and reports including but not limited to adjunct faculty contracts, invoices, purchase orders, budget reports, advisor reports, and general letters of correspondence.
  • Prepare annual NC Higher Education Facilities Utilization and Inventory reports as it relates to curriculum and continuing education scheduling.
  • Assist MCC Registrar with collecting reports and forms from faculty as needed.
  • Serve on campus committees as assigned.
  • Other duties as assigned.
