Minimum Qualifications

 Minimum Qualifications Required:
 -Degree or equivalent experience: Bachelor’s degree from a regionally accredited institution
-Years of experience: Two years in experience in a Student Records, Registrar, or Admissions Office or related experience within higher education
-Specialized training in: Experience evaluating official academic transcripts for college transfer credits

WHAT YOU'LL DO ON A TYPICAL DAY:The Coordinator, Student Records and Assistant Registrar works collaboratively with members of the Student Records Office, Student Affairs, and Academic Affairs to ensure the accuracy and integrity of student records as well as evaluation processes.   The Coordinator, Student Records and Assistant Registrar reports to the Director, Student Records and Registrar and has the following responsibilities:
-Responds to Student Records inquiries and provides high-level, personalized customer service to students and the campus community.
-Assists the Director, Student Records and Registrar and Academic Affairs leadership in the evaluation and awarding of transfer credit and credit for prior learning.
-Assists the Director, Student Records and Registrar with determining student eligibility for graduation, designation of honors and high honors, and entering of graduation exceptions once approved by appropriate Academic Affairs administrator.
-Assists with processing, reporting, and records management functions, including the management and retention of curriculum and continuing education student records.
-Generate data, reconcile discrepancies and verify the following curriculum reports for submission to the North Carolina Community College System

  • Curriculum Institutional Class Report
  • Comprehensive Curriculum Student Report
  • Graduation Data Extract 

-Generate data, reconcile discrepancies and verify enrollment reporting and degree transmissions to the National Student Clearinghouse
-Manages academic standing process including but not limited to the calculation of their status at end of a semester, communicating this status to students, and notifying appropriate college staff with information on students placed on alert, probation, or suspension.
-Maintains and updates student records including verifying accuracy and correcting inconsistencies.
-Critically evaluates enrollment practices and College processes and provide ideas for improvement when needed.
-Maintains professional and technical knowledge by participating in professional development appropriate to the functions of the position. 
-Works collaboratively with other staff to develop cross-training opportunities and knowledge sharing.
-Seeks opportunities to gain knowledge and implement more effective and efficient processes.
-Understands laws protecting student records and maintains confidentiality of student records.
-Maintain sensitivity, understanding and respect for a diverse academic environment, inclusive of students, faculty, and staff of varying social, economic, cultural, ideological, and ethnic backgrounds.
-Supports the mission, vision, and values of the College and attends College events and meeting
-Performs other tasks as assigned which support the mission and initiatives of the College
