Position Description
The Curriculum Associate – Instruction is responsible for the generation and tracking of contracts for adjunct instructors and for overload pay for fulltime employees of the college. The curriculum associate also provides administrative support for the curriculum administration in Stone Hall and as needed for the college president.
Essential Functions
- Serves as primary contact for visitors to administration offices in Stone Hall.
- Manages phone calls and appointment calendars, as needed, for the Sr. Vice President of Academic Affairs and the Vice President of Instruction.
- Manages reservations and electronic calendar for the Sledge Board Room.
- Manages incoming inter-office mail, and forwards forms to appropriate staff member for processing after approval.
- Creates or maintains spreadsheet or database of adjunct instructor names and addresses for mailings.
- Creates or maintains spreadsheet or database of adjunct instructor pay-step or hourly rate, any special instructions, and notation of first semester a newly hired adjunct instructor teaches at SCC.
- Processes contract requests from department chairs for all adjunct faculty and for full-time faculty overloads. Ensures accuracy of course assignments, contact hours, and pay rate.
- Inputs adjunct and overload faculty pay into Colleague and generates contracts in Etrieve and works with payroll to finalize pay.
- Monitors course cancellations and instructor changes in order to make contract changes and advise payroll of such changes.
- Performs monthly verification of business office’s trial payroll balance based on contracts.
- Leads selection process for Adjunct Excellence in Teaching Award each year.
- Creates Excel report of full-time faculty overload contracts including courses taught, contact hours, and pay amount for budgetary and planning purposes for Sr. Vice President of Academic Affairs.
- Assists Center for Teaching and Learning with new faculty orientation. Provides names of new adjuncts, mails invitations, plans refreshments, and creates stipend contract for each instructor attending the orientation session.
- Prepares mail merge to send President’s List and Dean’s List letters to students.
- Updates adjunct names in Curriculum Listing and Board of Trustee information documents.
- Takes minutes at Sr. Vice President of Academic Affairs Staff meetings and other meetings as needed.
- Plan and direct the Student Awards Day each spring. This includes soliciting and finalizing nominees for the department awards.
- Other duties as requested by the Vice President of Instruction or Sr. Vice President of Academic Affairs.
