Minimum Qualifications

 

  • A minimum of an Associate degree
  • At least 3 years of experience in administrative work.

The candidate must have the following knowledge and skills:

  • A detail-oriented team player accustomed to juggling multiple projects while maintaining time management in a deadline-driven environment and works well independently and as part of a team.
  • Advanced computer skills, including Microsoft Office software (Excel, Access, and Word), budget, and database management.
  • Proficiency in communication and organization skills, sharp analytical skills, amicably accepting direction or constructive criticism, and follow-up with contacts until the job is completed.
  • A strong work ethic and a positive attitude with the ability to work events as needed.

Position Description

This is a full-time 12-month position. The AData Management Assistant/Administrative Assistant of Institutional Advancement “Assistant” will assist with all aspects of in the Office of Institutional Advancement, which includes WCC Foundation, Development, and College Marketing. The position will report to the Vice President (VP) of Institutional Advancement.

The Assistant will support the mission and vision of the college through behaviors that reflect and integrate the college’s values while maintaining the highest standards for personal integrity and stewardship of resources.

Duties include:

  1. Daily deposits of donations, receipts, and acknowledgments of all gifts manage pledge book updates working in conjunction with staff accountant to ensure accuracy in financial information.
  2. Manages the department’s Raiser’s Edge NXT donor database; data entry, maintenance, research, donor reports for Development Officers, and events management.
  3. Serves as recording secretary for WCC Foundation Board and is responsible for attending meetings and drafting minutes for Foundation Board and committee meetings .
  4. Provides support for the WCC Foundation Board in communications, logistics, planning, preparation of meetings and meeting materials, scheduling and preparing meeting rooms, and organizing arrangements for meetings.
  5. Contact in person, by telephone, and/or via written or electronic correspondence with various high-level WCC constituents, including the WCC Foundation Board of Directors, WCC Board of Trustees, donors, business leaders, community leaders, and WCC faculty members and administrators. Maintain complete confidentiality and anonymity of contacts when necessary.
  6. Prepares mailing and works with volunteers to send out direct mail pieces for fundraising events and campaigns.
  7. Maintains development and marketing budget; orders supplies for development office; provides annual inventory.
  8. Prepares requests for quotes for printing and production of marketing projects, manages results, and correspondence related to bids.
  9. Maintains records of marketing, purchasing, contracts, and related department activities and documentation.
  10. Works with VP on donor recognition; orders plaques; prepares approval letters, for fundraising events and annual fund, manages website acknowledgment.
  11. Tracks and manages online forms of the WCC Foundation, and sends recaps to the Staff Accountant.
  12. Plans and arranges travel details and conducts maintenance and oversight of travel funds and reimbursements.
  13. Provides administrative support with Foundation event surveys.
  14. Serves as lead for Economic Impact Report for MerleFest.
  15. Performs other related duties, as assigned by supervisor.
