Position Description

The Director of Auxiliary Services, Business Development Manager for Venues & Events (Director) is responsible for college activities that generate revenue through the sale of products and the delivery of services. The Director oversees the College Bookstore, Café, vending, and athletic events. The Director develops and manages events in college venues that invite students and the community to come to the campus. The College has a variety of event spaces, including an amphitheater, theatre, field house, activity center, athletic fields, meeting rooms, and classrooms.

The Director will work collaboratively with other areas of the College, including the President’s Office, Marketing, Athletics Staff, Continuing Education Staff, Academic Affairs, Purchasing, and Student Affairs, to plan and manage auxiliary services and to develop and deliver events.

Essential Responsibilities

  1. Maintains and performs a variety of administrative responsibilities to support College operations, events, and services.
  2. Effectively develops and implements processes, procedures, and policies.
  3. Serves on committees as required.
  4. Performs other duties as assigned and other related duties to the work described herein.

Bookstore

  1. Periodically solicit bookstore services, evaluating bids based on evaluation criteria that consider not only the financial benefits but also the best interests of students and faculty.
  2. Administer the contract to assure compliance.
  3. Oversee meetings each term to coordinate bookstore activities with Student Affairs, Academic Affairs, and the Business Office.
  4. Review and respond to student surveys to improve satisfaction levels.
  5. Liaise to resolve service issues promptly.
  6. Review and approve bookstore invoices and commission statements.

Café

  1. Periodically solicit Cafe services, evaluating bids based on evaluation criteria that consider the financial benefits and the best interests of students and employees.
  2. Administer the contract to assure compliance. Schedule and document required meetings.
  3. Assure offerings and prices are aligned with student and employee preferences.
  4. Review and respond to student surveys to improve satisfaction with the service.
  5. Liaise to resolve service issues promptly.
  6. Coordinate Café services with Student Government events, other student activities, and internal catering needs.
  7. Review and approve Cafe invoices and commission statements.

Vending

  1. Periodically solicit vending services, evaluating bids based on criteria that consider the financial benefits and the best interests of students and employees.
  2. Administer the contract to assure compliance.
  3. Assure offerings are aligned with student and employee preferences.
  4. Liaise to resolve service issues promptly.
  5. Review and approve vending commission statements.

Athletic Events

  1. Coordinate home game ticket sales with Athletic staff and the Business Office.
  2. Arrange for and oversee concession services during home games.

Facility Rental Management

  1. Serve as the primary contact for external facility scheduling contracts.
  2. Recommend adjustments to the rental fee schedule.
  3. Coordinate services for rental events, including setup, catering, and takedown.
  4. Manage rentals using scheduling and planning software.
  5. Provide customer service during events.
  6. Create invoices, collect payments, and maintain rental records.
  7. Venue and Event Development and Execution
  8. Plans, administers, coordinates, and promotes events.
  9. Develop strategies and promotional plans for events. Plans include strategic initiatives, competitive analyses, insights into new opportunities, etc. Plan events around existing services and activities such as cosmetology, esthetics, graduations, and athletic events.
  10. Administers event logistics and communications. Completes administrative tracking, reporting, and compliance activities.
  11. Coordinates grant solicitations with the Director of Grants.
  12. Coordinates event registration and payment with the Business Office.
  13. Coordinates event setup requirements with plant maintenance staff.
  14. Coordinates event technology setup requirements with IT staff.
  15. Coordinates event security review and services with Campus Security.
  16. Promotes Events: Coordinates external communication efforts with the Marketing Department. Draft various event fliers, notices, press releases, advertisements, and related documents. Market events through various methods, technology, and channels; solicit donations and sponsorships.
