  • Excellent computer skills including spreadsheets, word processing, and windows-based applications
  • Excellent organizational skills with attention to detail
  • Excellent oral and written communication skills

Position Description

GENERAL FUNCTION: This Director of Records and Enrollment is responsible for accuracy and integrity of student records, coordinating, and monitoring the college curriculum, registration, and graduation functions; supervising the entry and maintenance of student records; and providing information to students, the public, and the North Carolina Community College System.

 

Essential Duties:

  • Hire, train, and supervise personnel within the Records and Enrollment Department
  • Manage student data and assures accurate records within the College’s data management systems
  • Initiate innovative and strategic methods of communication with faculty, staff, and students to increase and maintain student enrollment
  • Coordinate and perform all aspects of student graduation, including degree audit certification, program of study evaluation, and awarding credentials to students
  • Oversee the entry and maintenance of permanent records of students’ completed course work, including grades, grade changes, test scores, drop/add transactions, withdrawals, credit by examination, student deficiencies, and academic achievements of students
  • Oversee assignment of advisors and balancing advisee loads
  • Coordinate Reverse Transfers including reviewing reverse transfer transcripts, awarding coursework to meet program completion requirements, and awarding appropriate reverse transfer credentials
  • Serve as the Degree Audit coordinator, reviewing degree completion opportunities through internal reports, processing appropriate curriculum changes, and awarding degree audit credentials
  • Assists with local, state, and federal audit of student records
  • Responsible for enrollment and degree verification to the National Student Clearinghouse
  • Responsible for maintaining College’s data management system registration rules and activating registration systems
  • Responsible for recommending policies and procedures relating to registration, matriculation, recordkeeping, transcript evaluation, tuition non-payment, and research of curriculum student records and issues
  • Maintain up-to-date knowledge of college, state, and federal laws, policies, and procedures related to processing and maintaining student records
  • Process records and forms for registration of students and assist with evaluating transcripts from various colleges as needed
  • Assist with managing communications related to records enrollment, registration and graduation processes as needed
  • Respond to student, faculty, and staff inquiries regarding registration and credential completion
  • Provide professional development opportunities for faculty and staff to utilize the College’s information system to record attendance, course grades, change of Program of Study, and class schedule
  • Additional duties as required
