Minimum Qualifications

Associate Degree in Accounting, Business Administration, or other related field with a minimum of two years of experience related to fixed asset auditing, financial record keeping, purchasing, and general accounting.

Position Description

This position is responsible for conducting the annual college asset audit and updating asset information as needed, performing monthly entry of new assets into Colleague, assigning new assets numbers to incoming equipment, the disposal of assets on the State Surplus website, and supervision of the Equipment Specialist.

The successful candidate will coordinate and audit fixed and high-risk assets across all campuses, review of purchase orders for proper coding for equipment purchases, process equipment disposals, assign asset numbers to new assets, and supervise the Equipment Specialist. 

General Function

Coordinates the operations of the college’s equipment auditing processes by overseeing and participating in the labeling, physical tracking, record keeping and reporting of all fixed assets.  Responsible for the financial accountability and proper disposal of all college fixed assets. Develops and maintains policies and procedures for the day-to-day operations as they pertain to fixed assets.  Periodically conducts training for college personnel.

Characteristic Duties and Responsibilities

1. Coordinates all activities within the Equipment area to ensure smooth flow of processes while maintaining compliance with the North Carolina Community College System (NCCCS) and adherence to current CPCC policies and procedures.

2.  Continuously reviews current college equipment processes and develops improvements to these processes that will improve the day-to-day activities of the area.

3.  Responsible for the development of internal policies and procedures for the control of the college’s depreciable and high-risk fixed assets.

4.  Generates monthly, quarterly, and yearly reports of the college’s fixed assets position for management and the NCCCS as requested.

5.  Reviews all college purchase orders to identify depreciable and high-risk assets and to ensure the proper financial object codes are used; works with the Procurement department to correct any discrepancies if necessary.

6.  Coordinates the equipment audit for all depreciable and high-risk assets by ensuring these assets are documented (scanned) at all campuses and offsite locations.

7.  Facilitates the transfer and/or removal of fixed assets through redistribution to other community colleges, sale on the State Surplus website, cannibalization, recycling, or disposal.
Communicates with NCCCS personnel and the public in regard to sale of college assets through the State Surplus website.

8.  Ensures college faculty and staff are properly educated on the correct process for disposal of fixed assets through the Inventory Control website, the college newsletter, group training, and on-on-one advisement.

9.  Maintains the Inventory Control website, ensuring all policies, procedures, guidelines and other information is correct and up-to-date.

10.  Supervises Inventory Control personnel who compile fixed asset information through research, physical inventories, and other data collection methods while ensuring all deadlines for this data are met.

11.  Coordinates activities of staff by establishing schedules and assigning tasks, monitoring performance, and consults with management regarding disciplinary actions and termination.
Reviews and verifies employee data through investigation and adjusts for errors and/or reports any reasons for discrepancies.

12.  Performs other duties as assigned.

*  Ability to exercise good judgment in applying and interpreting policies, procedures and regulations

*  Knowledge of general accounting principles, auditing, purchasing and record keeping

*  Ability to continuously monitor and analyze the college equipment processes and develop improvements

*  Proficient with Microsoft Office Suite, particularly Excel

*  Excellent oral and written communication skills

*  Ability to establish and maintain effective working relationships with other college staff members.
