MINIMUM EDUCATION QUALIFICATIONS
- Associate degree from a nationally accredited college required.
MINIMUM EXPERIENCE QUALIFICATIONS
- At least five years' administrative experience required.
- Excellent interpersonal, written, and verbal communication skills, including knowledge of the structure and content of the English language, meaning and spelling of words, proofreading, rules of composition, and grammar required.
- Excellent writing, analytical, and problem-solving skills with a high-degree of detail orientation required.
- Strong organization skills and the demonstrated ability to multi-task in a fast-paced environment required.
- Working knowledge of operating standard office equipment and related tools and technology required.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, and Electronic Calendaring) required.
- Demonstrated administrative competencies through internal testing required.

Position Description
SUMMARY
OPEN UNTIL FILLED - Review of applications will begin 4/26/22
Provides high-level administrative support for the President of the College and the Chair and Members of the Board of Trustees. Manages the day-to-day administrative activities of the Office of the President. Conducts research, prepares reports, handles information requests, and performs a variety of high-level administrative functions such as preparing correspondence, scheduling and coordinating meetings and travel, documenting meetings and events, and recordkeeping. Position requires sound judgment, confidentiality, independent action, and a high level of professionalism.
DUTIES AND RESPONSIBILITIES
- Acts as the administrative liaison between the President and the Board of Trustees, faculty and staff, and the North Carolina Community College System (NCCCS) Office. Takes initiative to administratively manage the day-to-day activities for the Office of the President, including in the absence of the President.
- Performs a variety of daily administrative duties including processing, reviewing, sorting, and distributing incoming mail, correspondence, faxes, and email. Other administrative duties include answering and processing telephone calls and voicemails, preparing and/or composing memorandums, letters, and forms, maintaining manual and electronic calendars, scheduling and planning meetings, and preparing meeting agendas and recording and transcribing meeting minutes.
- Serves as recording secretary and coordinates regular and special meetings and maintains records of attendance for Board and Board Committee meetings including constituency groups, members of the press, guests, and visitors per open meeting guidelines. Creates, coordinates, and maintains records of Board actions including historical and current official records.
- Manages and coordinates new trustee orientation and related required training.
- Develops, organizes, maintains, files, and retrieves hard copy and electronic records and systems.
- Plans, coordinates, and/or assists with activities related to special projects, special events, and assignments including research, compiling data, preparing reports, and assistance with preparing information for presentations and related responsibilities.
- Makes and coordinates travel, accommodation, and related arrangements as needed and prepares and processes all related forms for reimbursements, etc.
- Remains current and proficient with office technology and software.
- Maintains a high standard of professionalism in representing the College including confidentiality in all aspects of the position's responsibilities and adherence to policies, procedures, and other established guidelines. Adheres to professional accountability and accepts responsibility for managing situations and problems. Works cooperatively with team members and colleagues, contributing positively and constructively to the achievement of team and College objectives and provides a high level of service to customers by establishing and maintaining effective working relationships and partnerships.
- Works in conjunction with the Executive Administrative Assistant for Executive Vice President for Academic and Student Affairs to maintain the President’s Offices supplies, assist with events/meetings, and cover office duties as needed.
