Minimum Qualifications

  • Associate’s degree or equivalent; bachelor’s degree in Business Administration, Office Management, or related field preferred.
  • Minimum of three years of experience in an administrative support role, preferably in an educational or executive office setting.
  •  Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with academic administration software systems.
  • Ability to work independently as well as part of a team.
  • High degree of discretion dealing with confidential information.
  • Strong interpersonal skills, with the ability to interact professionally with all levels of staff, faculty, students, and external stakeholders.

Preferred Qualifications

  • Experience working in an educational setting, particularly in a community college.
  • Familiarity with academic departments and higher education administration.
  • Strong interpersonal skills to interact effectively with faculty, staff, and students.

Position Description

Alamance Community College is seeking a highly organized, professional, and dynamic Executive Administrative Assistant to provide comprehensive support to the Vice President of Instruction/Chief Academic Officer. This pivotal role requires a high level of discretion, initiative, and a forward-thinking approach. The ideal candidate will have excellent administrative skills, the ability to manage multiple priorities, and a commitment to excellence in supporting the leadership of our academic programs.

Example of Duties

Key Responsibilities:

  • Provide high-level administrative support to the Vice President of Instruction/Chief Academic Officer, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Serve as the first point of contact for the Vice President’s office, handling correspondence, answering calls, and greeting visitors with professionalism.
  • Prepare and edit correspondence, communications, presentations, and other documents on behalf of the Vice President. Example: Assists with the production and coordination of state-level program applications, program and regional accreditation reports, and other document management tasks.
  • Facilitate efficient communication between the Vice President's office and other departments, faculty, staff, students, and external partners.
  • Manage and organize office files, records, and reports in accordance with college policies and procedures.
  • Ensures follow-through, tracks progress of projects, utilizes effective workflow systems to increase efficiency and effectiveness, monitors project deadlines.
  • Assist in preparing and monitoring the budget for the Office of Instruction.
  • Coordinate and support meetings, including preparing agendas, reserving facilities, and taking minutes as needed.
  • Serves as a backup for program of study entry, room reservation system, college catalog revisions, student evaluations, and college calendar; maintains proficiency in these tasks through regular training.
  • Handle confidential and sensitive information with discretion.
  • Assist with special projects and events related to the academic division. Perform other duties as assigned to support the Vice President and the academic mission of the college
