Minimum Qualifications

Minimum Requirements (Applicant must meet all of the minimum requirements)

1. Must have a minimum of an Associate’s degree in Administrative Office Technology or related degree;
2. Must have a minimum of three years of full-time or equivalent administrative assistant work experience.

Preferred Qualifications

Preferred Qualifications

1. Five years of full-time or equivalent experience in an executive support position;
2. Experience working in higher education;
3. Proficiency in a foreign language such as Spanish, an East Slavic language, and/or American Sign Language.

Position Description

Job Description Summary

The Executive Assistant (EA) for Economic & Workforce Development and Continuing Education performs administrative support
duties for the Vice President, Economic & Workforce Development and Continuing Education and partial support to the Vice
President, Information Technology. In this role, the EA also acts as a liaison between the office of the VP, the staff, and the community.

Duties

1. Serves as a first point of contact for the Division of Economic & Workforce Development and Continuing Education
administrative offices and the office of the Vice-President.

2. Performs administrative duties such as greeting visitors, composing and typing correspondence and reports; maintaining
current filing system; routing in-coming and out-going mail; maintaining office equipment; coordinating supply forms and supplies for the Allied Health building and off-sight staff maintaining expendable supplies; completing purchase requisitions in the E-Procurement system; processing travel requests from division staff; making travel arrangements, and maintaining appointment calendars.

3. Ensures college and division deadlines for budget, catalog, accreditation reports, and system office requests are met.

4. Serves as a member of the Vice-President’s Leadership Team, taking notes and preparing a draft of minutes for approval by the Vice-President.

5. Processes and maintains monthly leave reports for Economic & Workforce Development and Continuing Education Division, and Information Technology division.

6. Processes and maintains monthly part-time staff timesheet and payroll reports for Economic & Workforce Development and
Continuing Education division, and Information Technology division.

7. Maintains Economic & Workforce Development and Continuing Education sites on SharePoint and the College Portal.

8. Collects and prepares a draft of Continuing Education schedule of courses in collaboration with all division departments and Community Relations and Marketing department, including data collection, editing, and distribution.

9. Coordinates public relations, marketing, and all-staff events for Economic & Workforce Development and Continuing
Education office.

10. Acts as project coordinator on the development of all phases of seasonal catalogs. Works to create a timeline for deadlines with the coordination of the marketing and communications office.

11. Serves as the creator of the weekly internal newsletter, and acts as a backup to produce the division newsletter, helping to
develop stories, profiles, and other content featuring the work of the division.

12. Maintains the Administrative Assistant’s job procedures manual.

13. Performs additional duties as directed by Vice President.

14. Contributes to the College Vision, Mission, Values, and Welcoming College statement.

15. Supports workforce diversity in all its aspects.
