Minimum Qualifications

Associate’s degree; proven ability to work well with peers and clients; pleasant personality; proficient with office productivity software; and effective communication and organizational skills reflected in work experience.

Preferred Qualifications

All of the minimum qualifications specified above and three years of administrative experience.

Position Description

Assists the President of the College in carrying out administrative activities.

Essential Job Functions
Perform general administrative duties as they relate to the offices of the President of the College with a high degree of organization, tact, diplomacy, discretion, and professionalism.
 
Attend and take minutes at the Board of Trustees meetings and prepare copies of minutes for record keeping and distribution. Prior to Board meetings, reserve the meeting space, arrange for the meal, prepare and send final approved board packets to board members, and communicate the meeting details and agenda to the President’s Cabinet and other special guests.  On the day of the meeting, prepare the meeting space, set up for the meal, and complete any other details required for the meeting.
 
Plan for and complete all preparations for the annual Board of Trustees Retreat.
 
Assist the Board Chair with correspondence or other matters that pertain to the Board.
 
Relieve President of administrative detail on select projects; take initiative in President’s absence to minimize effects of absence; act as liaison between President and faculty/staff when needed.
 
Help compile information and data for the president’s presentations.
 
Maintain and order office equipment and supplies.
 
Maintain the president's calendar, prepare agendas in advance of certain meetings, organize meeting facilities, and act as recording secretary.
 
Handle incoming phone calls, emails, and in-person visitors in a prompt, polite, and professional manner.
 
Receive mail for the President and Vice-President of Finance and Administration; prepare correspondence and reports for the president's signature; arrange decisions/mail in priority order.
 
Arrange travel for the President, members of the president’s cabinet, and trustees through the proper agencies; arrange finances in advance; prepare trip details; and complete post-trip expense reports.
 
Assist with the budgeting process and complete purchase requisitions on the E-Procurement system.
 
Copy and trim in-house print jobs as requested by the Director of Public Information.
 
Scan news clippings and send to appropriate faculty & staff, as well as to the librarian for the electronic ECC Scrapbook.
 
Maintain the board policies, board minutes, insurance policies, and other contract binders.
 
Serve as the back-up for the receptionist.
 
Perform other related duties incidental to the work described herein.
