Minimum Qualifications

EDUCATION:  Bachelor's degree in communication, business, public administration, or similar field from an accredited institution of higher education.  Applicants must attach to their application an unofficial transcript reflecting their degree.  

KNOWLEDGE AND SKILLS:

  • Minimum five years of successful, progressively responsible administrative work experience in the related field.
  • Demonstrated ability to deal with highly complex situations which require confidentiality and sound judgment.
  • Demonstrated ability to interact professionally with others, including members of public bodies such as boards, commissions, and unexpected guests.
  • Ability to interpret and apply administrative and departmental policies, procedures, laws, and regulations to College work.
  • Ability to complete projects promptly and accurately with minimum supervision.
  • Demonstrated proficiency in the use of current software, including but not limited to, Microsoft Office Professional Suite.
  • Ability to respond coherently and courteously verbally and in writing to students, co-workers, and individuals and organizations having contact with the College.
  • Detail-oriented with excellent time-management skills.
  • Exceptional organizational and multitasking abilities.

Position Description

Carteret Community College is seeking a highly motivated and skilled individual to serve as the Executive Assistant to the President.   The successful candidate will play a crucial role in supporting the President in administrative and organizational matters, ensuring the efficient operation of the President's office.

Annual Salary Range:  $44,967 to $52,500, commensurate with education and experience

The Executive Assistant to the President promotes proactive, accurate, and positive communication and performs highly complex administrative duties in support of the President and Board of Trustees.  The Executive Assistant to the President assists in the coordination of general operations and special projects of the President's Office. Under the supervision of the President, the Executive Assistant to the President ensures that work received and leaving the President's Office is timely, accurate, and achieves intended outcomes.

Duties include:

  • Maintains and ensures professional and welcoming coverage of the President's Office during normal work hours, both in person and through telephone and email communication.  
  • Attends all Board of Trustees meetings and other meetings as directed by the President.
  • Prepares and performs appropriate notifications of all Board of Trustees meetings, committee meetings, retreats, and other functions, including preparation and dissemination of agenda and board packet and follow up to ensure board actions are communicated to appropriate parties.
  • Assures currently and accuracy of Board of Trustees pages on the College Website.
  • Prepares agendas and takes/prepares minutes for the Executive Leadership Council (ELC) and the President's Cabinet. 
  • Coordinates the calendar, meetings, and various events of the President and President's Office with consideration to the President's role on and off campus.
  • Facilitates communication between the President's Office, Executive Leadership Council, Cabinet, and all administrative offices of the College.  
  • Uses independent judgment and personal initiative to anticipate needs of the President and to provide needed information and support.
  • Responds to letters and general correspondence with input from the President.
  • Maintains utmost confidentiality and decorum.  Ensures security and maintenance of confidential materials, information, and professional files.
  • Coordinates the process of creating, publishing, adopting, and regularly reviewing College policies and procedures.
  • Coordinates the annual campus committee assignment process.
  • Identifies available resources and schedules Board Room and locations necessary for Board and Leadership Team functions.
  • Serves as Assistant Secretary to the Board of Trustees in support of the President, who serves as Secretary of the Board of Trustees. 
  • Maintains Trustee contact information for all websites and organizations, and coordinates necessary SEI, Ethics Training, and other Trustee requirements.
  • Maintains all supplies and equipment for office.
  • Completes special projects as assigned.
  • Manages the budget of the President's Office, President's discretionary fund, and Board of Trustees.  Reconciles P-card transactions made by the President's Office and maintains purchase receipts.
  • Makes arrangements/reservations for President's travel to meetings/conferences as well as Trustee travel for NCACCT or other College-related meetings or conferences.
  • Maintains permanent minutes of the Board of Trustees for public information per requirement of NC General Statutes and NC Auditors.
  • Plans events for the President and Trustees.
  • Researches, compiles, and summarizes data and information for special projects and reports and confidential correspondence, as assigned by the President.
  • Prepares confidential correspondence, reports, and special projects, as assigned.
  • Proofreads carefully all correspondence, minutes, and press releases before submitting to President for review.
  • Maintains professional personal and office appearance.
  • Participates in relevant and ongoing professional education opportunities.
  • Serves on College committees and task forces as assigned.
  • Attend required campus events including graduation, professional development, and employee meetings.
  • Performs other duties as assigned by the President.

Travel to College and Trustee activities is sometimes required.  Work is performed mainly indoors.  Only light to medium physical effort is required.  Occasional weekend and evening work may be required.
