Minimum Qualifications

Education:

  • Associate’s degree from a regionally accredited institution in business or other related field from a regionally accredited institution.

Work Experience:

  • A minimum of 4 years of work experience as administrative assistant or related field.

Preferred Qualifications

Education:

  • Bachelor’s degree from a regionally accredited institution.

Other:

  • Experience with a student or business information system and SharePoint / Office 365.
  • Demonstrated experience in problem solving and executing complex projects.
  • Experience in a general administrative experience including work requiring extensive attention to detail and accuracy.
  • Experience dealing with difficult people.
  • Experience in a customer service environment.

Position Description

Essential Duties and Responsibilities for the Office of the President:

  • Maintain confidentiality of the Office of the President and Board of Trustees.
  • Works closely and effectively to keep the President well informed of upcoming commitments and responsibilities, following up appropriately. Maintains sensitivity for the issues taking place in the environment and keeping the President updated.
  • Maintain calendar of appointments, commitments, and deadlines for the President and Board of Trustees.
  • Prepare and organize meeting packets and disseminate to members.
  • Maintain all supplies and equipment for the Office of the President. Enter all supplies in the E-procurement System.
  • Handle internal and external telephone calls relating to the President’s office.
  • Handle correspondence, memoranda, and reports for the President’s office and Board of Trustees. Provide welcome letters to all new full-time faculty and staff.
  • Attend College Leadership Council/Senior Staff as motion recorder for the President. Prepare and distribute agenda and post motions of the meetings on the appropriate SharePoint site.
  • Handle Student Appeal information in a confidential manner. Make packets of confidential documents for the president and Senior Staff. If the appeal is forwarded to the Board of Trustees, prepare all documentation.
  • Mail graduation invitations and parking passes to Trustees and special guests as requested by the President. Prepare rental orders and returns for Trustees and other stage-robed guests. Assist at graduation as needed.
  • Coordinate all travel arrangements for college-related business trips for the President and Board of Trustees (presidents meetings, committee meetings, workshops, law seminars, etc.)
  • Coordinate catered functions for Trustees and President as requested (board meetings, Trustee retreat, etc.).
  • Reconcile Visa Card statements for the Office of the President.
  • Assist in coordinating campus events.
  • Assist the Vice President of Institutional Advancement with the Golf Tournament, Auction, Community MLK Event and other college-wide events as needed.
  • Knowledge of NCCCS and College policies and the ability to give accurate information to staff, students, and the public.
  • Serve as the Ethics Liaison for President, Board of Trustees and Vice President of Administration. Must maintain accurate files for certification and re-certification. Distribute all updated information from NC Ethics Commission.
  • Serve on interview committees as designated by Human Resources
  • Fulfill other duties as assigned by the President.

Essential Duties and Responsibilities for Board of Trustees:

  • Maintain discretion and confidentiality in relationships with all board members.
  • Maintain history of Trustee appointments/reappointments. Provide service award data to Human Resources for recognition of service by Trustees.
  • Attend Board of Trustees meetings as recorder for the President. Prepare agenda and Board packets.
  • Prepare all Board agenda, information packets, minutes, Board Manual, etc., and attend all Board meetings, recording and disseminating minutes of Board meetings and providing other support needed by the Board at the direction of the President.
  • Assist the President with orientation of new Board members and prepare orientation manual.
  • Maintain records for required Board training such as newly appointment and reappointment training by NCACCT. Schedule Trustees for training.
  • Assist NCACCT with the distribution of House/Senate Bills. Make sure Trustees and President are aware and place on agendas as needed.
  • Distribute and tally Trustee Self Evaluations. Distribute and tally results of Senior Staff/Direct Reports of the President Evaluations to Trustees.
  • Serve as Ethics Liaison for the Board of Trustees. Maintain records of required Ethics Training.
  • Disseminate all required NC Ethics correspondence to Trustees in a timely manner.
  • Coordinate logistics of Board of Trustee Retreats – annual event/coordinate speaker and agenda, meeting location and all duties required.
  • Coordinate travel for the Board of Trustees as requested for retreats, workshops, State and National Trustee meetings. Prepare Trustee travel reimbursements for approvals.
  • Organize and coordinate the Trustee and President Christmas Social.
  • Responsible for security and maintenance of highly confidential materials, information and professional files.
