Minimum Qualifications

  • Associate’s degree in Business Administration or related field
  • Five (5) years of experience in an executive secretarial or administrative assistant role
  • Notary license or willing to obtain in first 3 months of employment.
  • Excellent human relations skills and be able to work with a variety of individuals (students, employees, administration, Board of Trustees, and the public). 
  • Good clerical skills, attention to detail, the ability to communicate effectively (oral and written), good organizational skills, and the ability to work with deadlines are essential.
  • Advanced computer skills required, including Microsoft Office software (Excel, Access, and Word).
  • Must maintain a high level of confidentiality.

Position Description

Serves as executive assistant to the College President and the WCC Board of Trustees. Provides excellent customer service, phone coverage, and email communications. Maintains calendars, facilitates, and schedules meetings as required. Maintain travel reimbursements, purchase orders, work order requests, and requisitions. Compose and produce memos, letters, and forms. Prepare for meetings, assist with set-up, and serve as recording secretary. Assist with various building, equipment, and other related inspections. Assist with the maintenance of files, reporting, and compliance

Duties include:

  1. Serves as Liaison to the Board of Trustees:
     * Coordinates board and standing committee meetings.
     * Serves as recording secretary.
     * Prepares formal resolutions and oaths of office.
     * Arranges travel for state and national association meetings. Prepares travel reimbursements.
     * Manages trustee education & ethics training. Coordinates board retreats.
    * Notifies media of all board meetings.
  2. Serves as Secretary to the Administrative Council:
    * Serves as recording secretary.
    * Develops and transmits council agendas and minutes.
  3. Serves as College Ethics Liaison:
    * Coordinates mandatory ethics education for designated public servants.
    * Assists with the preparation of public servants’ statements of economic interest.
    * Maintains active communication with the NC State Ethics Commission.
  4. Performs Administrative Assistant duties:
    * Performs word processing of correspondence/travel
    * Maintains files
    * Performs receptionist duties
    * Provides administrative assistant support to the Executive Director of Institutional Research and Planning
  5. Maintains the president’s office supplies/materials. 
  6. Conducts inventories of equipment and supplies.
  7. Assists with Graduation and Special Events, such as Dedications of New Buildings, Open Houses, and Ribbon Cuttings
  8. Perform other related duties as assigned by the President.
