  • Associate degree required.

  • Accurate recordkeeping skills required.
  • Strong organizational skills and the demonstrated ability to handle multiple tasks in a fast-paced environment are required.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, etc.) required.
  • Working knowledge of operating standard office equipment and related tools and technology required
  • A strong work ethic, positive attitude, and the ability to collaborate well with others are required. 

PHYSICAL REQUIREMENTS

  • Generally, works in a traditional climate-controlled office environment and requires the ability to sit for extended periods. 
  • Some walking, standing, and bending required, and the ability to lift and maneuver items weighing up to 25 pounds.
  • Work environment can be stressful at times in dealing with a wide variety of challenges and deadlines.
  • In addition to regular office hours, position sometimes requires overtime and/or evening hours.

Position Description

SUMMARY

 

Open Until Filled

Assist the Director of Regional Emergency Services Training Center in scheduling, implementing, and maintaining all classes in Fire and Rescue training programs, as well as other Emergency Services programs as needed. Perform all administrative and clerical support for the program(s). Assist with registration, generate student records, and maintain curriculum and continuing education program files for the College, state approval, and accreditation. Serve as the administrative support for assigned programs, including the processing of appropriate paperwork (contracts, worksheets, rosters, payroll). This is a multi-faceted position working with students, faculty, staff, and the community. 

 

DUTIES AND RESPONSIBILITIES

 

  1. Serve as initial contact person for the department and work as a team member by maintaining excellent customer service and providing information to prospective students and customers.
  2. Compose and type correspondence, memorandums, minutes, course documents, handouts, and flyers.
  3. Set up and maintain filing system for general information, course information, files for all courses taught, files on each instructor including certifications, and files on each student.
  4. Prepare semester instructor contractual agreements and other required paperwork from SACSCOC and accrediting agencies, obtain necessary signatures, and process as appropriate.
  5. Assure the security of the NC Fire Commission Certification test and test banks; prepare, certify, secure, and distribute the NC Fire and Rescue Certification test packets.
  6. Generate reports and maintain files as required by the NC Fire and Rescue Commission.
  7. Evaluate Continuing Education and Fire and Rescue Commission transcripts; process appropriate paperwork required for students to receive their state certification through the Office of the State Fire Marshal.
  8. Assist with planning, coordinating, and scheduling advisory board meetings.
  9. Assist with arranging room schedules and equipment requests with appropriate campus contacts.
  10. Collaborate with appropriate College personnel to ensure CE and Curriculum class registration and paperwork are correct. 
  11. Produce and maintain annual reports for accreditation and workforce development.
  12. Prepare billing statements for continuing education courses and submit them to business office as needed.
  13. Requisition supplies, materials, and equipment needed for the programs.        
  14. Receive telephone calls and emails, serve as receptionist, and provide general information to administration, staff, faculty, students, and public.
  15. Prepare and type contracts for Fire and Rescue instructors as well as obtaining signatures; maintain records of hours worked by part-time faculty and prepare information for payroll. Compile class packets for all classes (including contacts, rosters, registration forms, etc.). Forward completed class packets to registrar’s office in a timely manner.
  16. Maintain a high standard of professional and ethical practice in representing the College.
  17. Maintain confidentiality of sensitive and/or confidential information.
  18. Demonstrate a thorough knowledge of the field or discipline with continued adherence to professional accountability. 
  19. Provide a high level of service to customers by establishing and maintaining effective working relationships and partnerships.
  20. Accept responsibility for managing situations and problems.
  21. Utilize independent judgment in problem solving of complex issues.
  22. Work cooperatively with team members and colleagues, contributing positively and constructively to the achievement of team and College objectives.
