Minimum Qualifications
- Bachelor’s Degree from a regionally accredited institution in business and marketing management, hospitality, communications, journalism or related field, and 2-4 years of related experience.
- Excellent oral and written communication skills.
- Talent and temperament for prospecting.
- Experience in face-to-face customer service with the ability to work harmoniously with a wide variety of people, and with a commitment to the mission of the College.
- Proficiency with the use of computer system and office software, including Microsoft Word, Excel, and Outlook.
- Valid North Carolina Driver’s License.
Preferred Qualifications
- Considerable experience in working with event management and facilities in the public sector, including knowledge of performing and visual arts, hospitality, travel and tourism.
- Direct experience in management and/or supervisory positions.
Position Description
- Secures and oversees the scheduling of events at the College Civic Center and other rental spaces on the Main Campus.
- Negotiates process and terms for use of facilities with clients, including the approval and execution of facility rental agreements, processing of deposits and payments, billing, and securing liability insurance verifications as necessary.
- Manages the College Civic Center budget by tracking revenue/expenditures to ensure profitability of operations.
- Serves as the liaison (or delegates appropriate staff members to serve as liaison) for all scheduled events in order to maintain a supervisory presence on behalf of the College.
- Supervises and assists in the setup and takedown of tables, chairs, and audio-visual equipment for scheduled events on the Main Campus (and, as needed, at the satellite campuses), coordinating with the College Information Technology and Plant Operations staff, caterers and event planners as needed.
- Oversees and supervises the daily work of full-time (including Facilities Technician) and part-time or temporary employees, including the coordination of staff schedules, verification and processing of timesheets, and the hiring, training, and evaluation of employees.
- Ensures the provision of technical support for scheduled events in regards to lighting, sound, multi-media, and general office management.
- Monitors and maintains the condition of facilities and equipment in collaboration with the College Information Technology and Plant Operations staff, ensuring adequate supplies of inventory, clean and safe environments, and reliable equipment performance.
- Consults with the Vice President of Finance & Operations, Director of Marketing, and College Webmaster to create and execute a comprehensive and integrated marketing plan for the College Civic Center and other rental spaces, including the production of print/online collateral, advertising campaigns, and the development of website content and promotional events.
- Collaborates with the Vice President of Finance & Operations and the Director of Plant Operations in the development of policies and procedures relating to the usage of the College Civic Center and other rental spaces on the Main Campus.
- Builds a network of contacts within the community to promote the visibility of Vance-Granville Community College, the Civic Center, and other campus venues, including attendance at various community events, and visiting community groups to make presentations.
