Position Description

:  Provide administrative and clerical support to AVP, Deans, faculty, and IT Academy.  Maintain computer files and hard copy files, maintain office supplies and equipment, enter class schedules into Datatel, and coordinate the Whitley Technology Center (WTC) Testing Center.

QUALIFICATIONS:

Required:

  • AAS
  • Three years’ experience in a similar field

  • Community college administrative experience

ESSENTIAL JOB FUNCTIONS:

  • Assist faculty.
  • Perform administrative duties.
  • Exhibit excellent communication and organizational skills.
  • Manage the WTC Testing Center.
  • Build continuing education classes in Datatel and register continuing education students.

 

DUTIES:

  • Enter class schedules into Datatel.
  • Type correspondence, reports, answers to program queries, meeting minutes, and other items.
  • Answer and process all incoming telephone calls; take and deliver messages in an accurate and timely manner.
  • Maintain the room book for the Whitley Technology Center.
  • Assist with the planning of Advisory Board meetings. 
  • Collect and distribute incoming and outgoing mail on a daily basis.
  • Proofread reports, schedules, catalogs, etc.
  • Learn up-to-date software to keep up with the faculty needs.
  • Monitor tests and exams in case of instructors’ absence.
  • Assist during registration periods as needed.
  • Assist students with various questions and concerns related to College policies and procedures.
  • Post notices of classroom schedules, moves and class cancellations.
  • Assist students and visitors in locating classes and faculty and/or setting appointments.
  • Revise Technology and Engineering advising booklet on a yearly basis.
  • Coordinate classroom and building lock-up.
  • Maintain working condition of copy machine, printers, and fax machine.  Assist faculty with operation of copier, printers, and fax machine; notify proper personnel for major repair service.
  • Duplicate and collate as requested by faculty.
  • Collect electronic copies of syllabi and post to the share drive.
  • Attend division meetings and prepare minutes as needed.
  • Create memos, letters, and other correspondence as needed.
  • Maintain division supply inventory.
  • Assist with various educational camps, tours, and events when hosted by the School of Advanced Manufacturing, Industry, Technology, and Trades.
  • Attend college professional development workshops as needed.
  • Maintain Pearson Vue test administrator status by passing the certification exam.
  • Maintain, monitor, and manage the Whitley Technology Center Testing Center.
  • Serve on college committees.
  • Other duties as assigned.
