Position Description
The Faculty Credentialing and Talent Acquisition departments are housed under the Human Resources unit located on Central Campus. These areas are responsible for developing and executing recruiting plans and strategies to ensure hiring goals are met with the best possible talent when staffing and credentialing potential employees.
General Function
The Faculty Staffing and Credentialing Specialist role will provide additional support in the areas of Faculty Credentialing and Talent Acquisition. This position will work closely with the Executive Director of Faculty Credentialing and Talent Acquisition in a proactive, collaborative approach to ensure that processes are consistent, compliant, and accurate to support sustained business success and deliver a superior customer experience to the Human Resources team and customers.
Characteristic Duties and Responsibilities
1. Manages the faculty new hire onboarding data entry process.
2. Processes background checks for full-time and part-time faculty new hires.
3. Reviews overload contracts for full-time employees and processes approvals to payroll; attach overload position numbers.
4. May assist in opening job requisitions for postings, posting and distribution of information for open positions, creating job flyers, etc.
5. Keys in faculty earned titles into the College Information System (CIS) such as Professor, Assistant Professor, Associate Professor and Professor Emeritus.
6. Handles updates and additions to the HR intranet and internet for the areas of Faculty Credentialing and Talent Acquisition; works closely with the Communications, Marketing and Public Relations (CMPR) unit to maintain updates on intranet.
7. May be requested to serve on interview committees for Director level positions and above as the HR representative.
8. Processes educational benefits paperwork (educational advancement forms, educational assistance for spouse and/or dependent children and tuition exemption for free class); verifies degree is from a regionally accredited institution and adds required degree information to the CIS, College catalog and website.
9. Works closely with the Coordinator of Faculty Credentialing in assisting in developing and maintaining a process to ensure full-time and part-time curriculum faculty members are SACSCOC and CPCC compliant in regards to credentialing guidelines and requirements; assists in the College’s reaffirmation process.
10. Approves faculty positions in the applicant tracking system confirming receipt of official transcripts and other required documents for the position.
11. Assists in requesting collecting and tracking required licenses/certifications and work with division offices in making sure current copies are in the faculty member’s credential file.
12. Assists in managing the alternate faculty credentialing process, which includes working with the division offices on reviewing and submitting potential faculty member’s academic and professional experience who doesn’t meet the minimum requirements as posted; compiles and uploads credentialing documents to Faculty Qualifications Review Committee for review and approval; tracks committee responses; creates faculty credentialing files and sends notification to hiring managers.
13. Provides day-to-day support to ensure a high performance, customer- service oriented work environment the promotes a positive employee relations environment; nurtures talent, builds and maintains capability and engages in succession planning with a clear focus on performing professionally, ethically and delivering excellent customer centric outcomes.
14. Works closely with the Executive Director of Faculty Credentialing and Talent Acquisition on complex and sensitive tasks and monitors follow-up action steps on important correspondence and requests.
15. Provides a level of administrative support, which may include scheduling meetings, p-card reconciliation, responding to or sending emails, returning or placing calls, assisting in creating processes etc.
16. Handles special assignments and tasks such as serving on committees, attending meetings, coordinating short term projects and collaborating with cross functional teams to identify solutions for long term initiatives, as assigned.
17. Serves as back-up to other team members to maintain office workflow, as needed.
