Minimum Qualifications

An Associate’s degree from a regionally accredited institution with a minimum of three to five years of relevant experience in financial aid, financial counseling, or a customer service-related field is required. Must have effective and efficient use of computers and related software including Microsoft Office, financial aid tracking software, and the internet; possess outstanding customer service skills along with excellent organizational skills to manage time, prioritize work, and handle multiple tasks simultaneously; possess a strong work ethic and the ability to work as a team member with minimal supervision; and the ability to maintain the confidentiality of student records in compliance with federal regulations regarding privacy. Candidate must demonstrate good interpersonal skills to work with students and constituencies across the institution, including staff at all levels, faculty, and committees. Must be able to maintain access to Department of Education Systems. Have knowledge of financial aid regulations.

Preferred Qualifications

Bachelor’s degree preferred. A National Career Readiness Certificate, and bilingual are preferred.

Position Description

Evaluate and process applications for student financial assistance; ensure the prompt handling of aid applications to include monitoring changes in eligibility; advise and educate students, prospective students, and parents regarding the financial aid process and eligibility requirements. Help ensure institutional compliance with federal and state regulations by accurately interpreting and communicating regulations. The Specialist will assist students as necessary with the financial aid application process. Manage an assigned caseload of students by guiding applicants through the application process, providing initial contact, financial advising, and direct outreach advising. Track student progress on financial aid packages; complete all aspects from the acknowledgment of aid report, verification, packaging, and finalizing aid. Revise student financial information based on enrollment, withdrawal from classes, and satisfactory academic progress. Monitor student progress to ensure eligibility and accuracy in awarding. Monitor state grant eligibility and report inconsistencies to Associate Director, Financial Aid or Director, Financial Aid, and Veteran Services. Assist with ensuring accurate disbursement of funds and reconciliation processes. Maintain files, collect documentation, and perform document imaging. Acts as a liaison between various departments, offices, and outside agencies to resolve conflicts, expedite processing, and access information. Maintain confidentiality of student records in compliance with FERPA and Higher Education Act privacy laws and guidelines. Responsible for ensuring the security and confidentiality of student information and records, both electronic and paper. Represent the office at institutional events and the college at community events. Participates in institutional committees as assigned and participates in staff development activities. Attend webinars, conferences, and training. Performs additional tasks and duties as assigned. Occasional overnight travel may be required.
