Minimum Qualifications

Associates Degree in Accounting or Business or related degree preferred with (1-3) years of experience in accounting or bookkeeping field.  

Preferred Qualifications

Bachelor’s degree in Accounting, Finance, or Business Administration. 

Position Description

Under the supervision of the Controller, the Accounts Payable Technician is responsible for processing of checks in payment of current and capital expenditures for the College.

 

Financial Services

  1. Responsible for the vouchering and payment of all invoices, contracts, travel, and requests for reimbursement for State, Institutional, and County funds.
  2. Responsible for reviewing all requests for payment to insure accuracy of pricing, supporting documentation is provided, availability of funds, and compliance with state accounting procedures.
  3. Responsible for the processing of payables weekly for State Institutional, County, and Foundation funds by vouchering of all invoices for payment, producing checks, mailing checks, reconciling purchase orders, and maintaining accounts payable file records with accuracy. 
  4. Responsible for reviewing all cash balances before checks are released.
  5. Responsible for reconciliation process with P-Cards-notification, processing, and payment.
  6. Manages the Receptionist desk. Submits all required documents for Council of Aging.
  7. Assists accounts receivable in the preparation of checks for payment of student Pell Grants, scholarships, and tuition funds.
  8. Maintains the check copy files for State, Institutional, County, and Foundation funds.
  9. Prepare monthly, quarterly, and annual tax reporting to IRS and NC Department of Revenue as required including year-end 1099-MISC tax forms.
  10. Complete reports as required by the NCCCS, the NC State Auditor, the NC State Controller, and other governmental agencies in a timely manner.
  11. Cross train in other Business Office functions such as general ledger and purchasing.
  12. Works closely with other members of the college to maintain accreditation standards with the Southern Association of Colleges & Schools (SACS) and other program accrediting bodies.
  13. Supports the mission of the College and Financial Services Department.
  14. Perform other duties as assigned by the Controller.

 

Professional Development

  1. Must maintain current knowledge of programs, trends, and new developments in governmental accounting and business law.
  2. Must complete ethics training every two years.
  3. Must receive required hours of professional development as set forth in the HCC Personnel Manual.

  1. Serve on various College committees as assigned.

Physical Requirements

  1. Frequently requires standing, sitting, and walking.
  2. Occasionally requires lifting (5-10 pounds), repetitious finger and wrist movement, and reaching both high and low.
  3. Constantly requires speaking clearly, hearing, and seeing.
  4. Additional hours during the week may occur close to year end close in June.  

 

Equipment

  1. Generally, this employee must be able to operate office equipment such as personal computer, fax machine, photocopier etc…
  2. Must be able to operate an automobile.
     

Knowledge-Technical
Working knowledge of accounting methods, procedures, and accounting practices.  Knowledge of accounting and other software (e.g.: ERP, Excel, Word, Access).
Strong organizational skills, ability to multitask.  
Excellent communication skills (written and verbal).The position is responsible for the timely submission of required reporting of financial information involving accounts payable. The position has delegated responsibility to analyze data for accuracy, to problem-solve, and to interpret regulations.  Manages the receptionist desk.
