Position Description

Provides administrative assistance to the Vice President of Institutional Effectiveness and Strategic Initiatives in the day-to-day operation of the office by performing administrative duties as assigned.

Knowledge & Responsibilities:

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Acts as liaison between the Vice President and contacts from within and outside the Division.
  • Composes, prepares, and transmits confidential and sensitive information.
  • Receives visitors, phone calls, fax documents; makes copies and delivers mail to the Vice President's office; assesses individual's relative importance; and if needed, refers to Vice President or other appropriate department or division.
  • Prepares and processes a variety of reports, forms, and correspondences.
  • Prepares purchase requisitions through E-procurement, monitors the budget, and prepares budget transfers as necessary. Prepares and processes direct pay requests and travel information.
  • Reconciles P-card purchases each month and provides a report to the Purchasing Office.
  • Contacts individuals and sets up meetings as requested by the vice president and other division staff; takes and distributes minutes of meetings as requested.
  • Provides assistance to divisional personnel as assigned by the Vice President of Institutional Effectiveness and Strategic Initiatives. 
  • Processes paper-based surveys as well as assists with survey coordination and dissemination
  • Monitors and reviews submission of various assessment and planning requirements
  • Assists with data collection and data entry as required to support divisional projects
  • Assists the Consolidated Help Desk by troubleshooting basic end-user issues and logging requests into online ticketing system. 
  • Assists the Vice President of Institutional Effectiveness and Strategic Initiatives with scheduling, announcements, meeting coordination, monitoring of standing committee activity, and deadline monitoring.
  • Collects copier total information, prepares usage reports, and conveys information to appropriate individuals. 
  • Processes and tracks surplus forms for the division.
  • Processes and tracks maintenance requests for the division.
  • Maintains office supplies and coordinates scheduled and unscheduled maintenance for the copier.
  • Files and maintains divisional records.
  • Types, processes, and prepares correspondence and a variety of other documents. 
  • Performs a variety of clerical duties.
  • Keeps abreast of computer/technology skills as related to the position.
  • Maintains yearly supply inventory.
  • Performs other duties as assigned.
