Minimum Qualifications

Associate’s degree in Office Systems Technology, Business Administration or a similar degree and three years of experience working in an office setting. Experience working in the community college setting is preferred.

Position Description

Office Maintenance
1. Oversee the opening and closing of Office area of Vice-President
2. Assist Vice President with preparing for meetings / presentations
3. Log onto desk computer and use Colleague, E-Procurement, DocuSign
4. Pick up/distribute mail
5. Order all office supplies including cartridges for copy machine and fax machine

Record Keeping
6. Retrieve messages from voicemail and distribute messages to Vice President
or appropriate person and inform Vice President of appointments on calendar for that day
7. Establish appointments
8. Prepare correspondence
9. Maintain requisition records for the division budget
10. Maintain a calendar of Student Services activities
11. Forward correspondence to obtain signatures
12. Maintain an e-log and send prospective students registration information regarding registration, enrollment, graduation, New Student Orientation, and other student activities

Communication
13. Serve as liaison for the various departments within the Division of Student Services
14. Communicate with Curriculum, GED/Continuing Education students and with faculty and staff campus wide
15. Distribute information to Student Services Staff

Documentation
16. Maintain of students for New Student Orientation
17. Maintain a list of people who received information
18. Maintain list of people who will “hood” graduates at Graduation

Data Entry
19. Input information to retrieve student’s schedule for emergency calls, security, and police officers
20. Ability to utilize Watermark
21. Input information into Colleague

Reporting
22. Prepare a Yearly Calendar of Events

Audits
23. Maintain annual and sick leave records for the division
24. Maintain time sheets for the division
25. Maintain comp time sheets for division
26. Maintain a monthly calendar for division

Campus Activities
27. Assist the Vice President with the coordination of Graduation
28. Assist the Vice President with the coordination of all student related activities
29. Assist with SGA Activities
30. Assist with Student Awards Ceremony

Professional Development
31. Participate in ongoing technology training
32. Maintain updated knowledge of office technology

Support of Mission/Related Responsibilities
33. Assist the Vice President with coordinating the registration process of curriculum students:Early Registration/Registration
34. Assist with the enrollment process: inputting and processing applications
35. Copy Social Security cards for Admissions Application
36. Tally surveys
37. Assist staff with travel, lodging and reimbursement

Service/Outreach
38. Assist with promotion of Student Services in the public sector
39. Other duties assigned within the scope of the position
