Minimum Qualifications

  • Bachelor's degree in Management, Business Administration, Hospitality, or closely related field required.

Preferred Qualifications

Education Proffered:

  • Master’s degree in Management, Business Administration, Hospitality, or a closely related field.

Experiences:

  • 3-5 years of experience in coordinating, producing, and directing performing arts events, event activities, contract administration, risk management, and supervisory experience.
  • Knowledge in providing technical support for events planning, conferences, performing artists including lighting, sounds, set design, etc.
  • Demonstrated ability to communicate effectively in a public setting
  • Demonstrated interpersonal skills
  • A commitment to the goals, standards, and ethics of HCC  

 

Required

  • Knowledge of event planning, the hospitality industry, technical and equipment needs, and management of large events.
  • Be detailed oriented with well-developed planning, organizational and problem-solving skills.
  • Excellent customer service skills and the ability to communicate effectively both orally and in writing are additional requirements of the position.
  • Knowledge of department and college policies, procedures, and practices with the ability to answer work

  • Strong understanding of event management as it pertains to the logistical aspect of a multipurpose venue’s operation to be able to effectively communicate and work alongside numerous vendors and organizations as it relates to theatrical style and non-theatrical style events.

Position Description

This position manages the day-to-day operations of the performance and rental spaces of the Dr. Griffin Centre on the campus of Halifax Community College. This includes but is not limited to Building and Event Management, daily operations of the Box Office, coordination of ticket sales for events, negotiation of contracts between performers/agents and presenters and conferencing with potential rental clients. Must be able to communicate effectively with students, college personnel, patrons and community groups; advanced oral and written communication and presentation skills are essential. To provide space for the college to host classes, special events and annual programs To provide residents and community organizations space for annual and special events The facility provides the college and community the opportunity to offer the arts and cultural development programs to the region and surrounding areas. The facility also provides the college with the opportunities for highlighting what we offer here at the college and recruitment.

Essential Functions:

This information is intended to be descriptive of the key responsibilities of the position. The list of essential function below does not identify all duties performed by any single incumbent in this position.

  1. Oversees management and develops policies and procedures relating to Box Office and Front of House operations.
  2. Serves as primary contact and information source for all who utilize or wish to utilize the facility.
  3. Track and process all contracts for events, maintaining both hard copy and electronic document records.
  4. Submit the annual budget to the Vice President of Administration Services.
  5. Provides the business office with all necessary financial data as needed and required including all contract information and certificates of insurance.
  6. Completes all documentation necessary to ensure timely payments to all vendors.
  7. Completes reconciliation reports at the close of ticketed events.
  8. Coordinates and oversees load-in, set-up, run and strike for all theatrical events where necessary. 
  9. Coordinates and oversees all staffing for each event.
  10. Manages building tours and private rentals
  11. Maintains information on annual patron visitation.
  12. Interfaces with local organizations and business partners on event planning and implementation.
  13. Work alongside the local school systems during the planning and implementation of their special events
  14. Manages concessions including training, budget and vendor management.
  15. Serves as administrator for Box Office Software vendor, manages webpage development with HCC Information Systems, responsible for the audience database for coordinated efforts with the campus relations director, HCC Foundation and external clients.
  16. At the discretion of the HCC President and Vice President's Offices, assist in the coordination of major events within the Learning Unit. Responsibilities include but are not limited to overseeing logistics, site coordination, partnering with marketing and other campus stakeholders.
  17. Directs all advance work with artists and users, from hospitality and scheduling to technical and front of house support, making advance arrangements and coordinating campus support services including but not limited to Maintenance Staff, Director of Security and others needed to successfully execute an event.
  18. Works alongside the maintenance department with building up keep and repair.
  19. Manages the development and work with the HCC Webmaster on the maintenance of the webpage.
  20. Schedules and coordinates with local schools and the community on participation in selected events.
  21. Organize and maintain the areas related to the performing arts, green room, dressing rooms, make-up rooms and other areas as assigned.
  22. Assist with room set up for internal and external facility requests for The Griffin Centre.
  23. Perform assigned responsibilities, duties and tasks according to established practices, procedures, techniques and standards in a safe and efficient manner and with minimal supervision.
  24. Serve on campus wide committees as needed
  25. Provide learning and mentoring opportunities for students during the school year.
  26. Schedule the work duties of student workers, volunteers or part-time help as needed.
  27. Ability to work a flexible work schedule that includes early mornings, evenings and weekends.
  28. Other duties as assigned by the President and Vice President of Institutional Effectiveness and Advancement.
  29. Input and track work orders for facility repair and maintenance.
  30. Review and compile marketing and promotional materials. Assist in creating and distributing publications, brochures, and newsletters.
  31. Assist with booking and scheduling requests, answer booking calls, capture pertinent information, and reserve space.
  32. Reach out to potential new clients to reserve and make use of the space in The Griffin Centre.
  33. Assist as needed in the box office.
  34. Supervise employees, volunteers, and student workers of The Griffin Centre.
