Minimum Qualifications

Associate’s Degree in Business, Office Systems Administration, or a related field.  Office Administration experience with skilled ability to communicate effectively to students, faculty and staff.  Proficient in Microsoft applications.

Preferred Qualifications

Meet minimum requirements and have community college experience with the colleague/ellucian system.  

Position Description

 

 

PRIMARY PURPOSE OF POSITION:

Responsible for initiating, coordinating, and performing the administrative functions required for the effective operation and support of assigned program areas.

 

** Subject to budget approval.  Anticipated hire date January 4, 2021 **

  

ESSENTIAL JOB DUTIES:

  • Responsible for answering and routing calls, greeting visitors, handling inquiries from the public and co-workers in a cooperative, courteous, and professional manner.
  • Ordering and inventorying office supplies, operating office equipment (copier, fax, scanner, etc.) and coordinating incoming and outgoing mail.
  • Primary point of contact for student, client, and visitors to the department in person, by phone, and by e-mail.
  • Prepare correspondence, agendas, publications, and management of reporting as assigned by Dean and Director. 
  • Arrange appointments, meetings, events, and travel schedules for Dean and Director.
  • Prepare and process purchase requisitions, work orders, travel requests, course/seminar evaluations, book adoptions, timesheets, and leave reports for all assigned program areas.
  • Assist with maintenance and updates of web presence for all assigned program areas.
  • Coordinate correspondence and communication to/from faculty and staff and maintain up-to-date office files.
  • Assist Dean and Director with development of schedule for classes/seminars for registration and publication. 
  • Maintain currency on technology and software updates related to the responsibilities of this position (including but not limited to: Microsoft Office Suite, Datatel/Ellucian, Self-service, AVISO, and SBC Client Management software).
  • Assist in dissemination and collection of part-time contracts and Personal Service Agreements based on information provided by the Dean and Director.
  • Provide support for assigned committees and various national and state organizations and participate in college-wide activities as required.   
  • Prepare reports and documentation necessary to support program and school accreditation and reporting requirements.
  • Maintains strict adherence to confidentiality of student, personnel, and SBC client’s information. 
  • Assist with meeting and seminar coordination including but not limited to: calendar coordination, room coordination, refreshment purchase/set-up, greeting of attendees, and taking of minutes for select sessions.
  • Assist with grants and special projects as assigned by Dean and Director.
  • Ability to work independently while also contributing to a team effort when needed.
  • Adhere to all institutional policies and procedures.  
  • Perform other duties as assigned by supervisor.
