Minimum Qualifications

Associate’s Degree in Business, Office Systems Administration, or a related field.  Ability to work with diverse groups of people in a multifaceted workplace.  Strong interpersonal and organization skills.  Competent in Microsoft Office with solid computer skills.

Preferred Qualifications

Previous experience within the NC Community College System or higher education setting.

Position Description

Primary Purpose

 

Responsible for initiating, coordinating, and performing the clerical and coordinating functions required for the effective implementation of the administrative procedures of an instructional unit.  This position serves the programs located within the Industry Department, Workforce Development Center, and the Small Business Center.

 

Essential Duties

  • Serve as point of contact for department by answering and routing calls, greeting visitors, handling inquiries from the public, ordering and inventorying office supplies, operating office equipment (copier, fax, scanner, etc.) and coordinating incoming and outgoing mail.  
  • Prepare correspondence, agendas, publications, and management reports.  
  • Arrange appointments, meetings, events, and travel schedules for employees of the department.
  • Prepare and process purchase requisitions, work orders, travel requests, time sheets, and leave reports.
  • Coordinate correspondence and communication to/from faculty and staff and maintain up-to-date office files.
  • Assist Dean with coordination of department schedule of classes for registration and publication.  Maintain currency on technology and software updates related to the responsibilities of this position. 
  • Assist in coordination of part-time contracts based on information provided by the Dean/Program Manager. 
  • Provide support for assigned committees and various national and state organizations and participate in college-wide activities as required.    
  • Adhere to all institutional policies and procedures.
  • Maintain confidentiality of student, client, and employee information
  • Perform other duties as assigned.  

 

Duties Specific to Small Business Center

  • Seminars and Workshops
    • Maintain seminar registration and evaluation data entry in SBCN Reporting System.
    • Summarize seminar evaluations for new presenters.
    • Act as a contact for seminar presenters and assist with contracts, scheduling, and seminar preparation (handouts, visual aids, etc.)
    • Attend SBC seminar in absence of director.
    • Create Interest Lists for seminars.
  • Year End Reporting
    • Send out annual client surveys and maintain client survey data on SBCN Client Management software.
  • Assist in the creation of annual reports on SBC Reporting System using Client Management SBCN software and assist in annual report completion and submission.
  • Other
    • Become knowledgeable and troubleshoot problems with SBCN Client Management software to aid Director with proper entry and report generation.

Additional Responsibilities

  • Ensure a Student-Centered Environment for front office while supporting departmental faculty and staff.
  • Work collaboratively to solve interdepartmental issues.
