Minimum Qualifications

Bachelor’s degree, preferably in business administration or a related discipline from an appropriately accredited institution and two years of progressively responsible administrative/office management experience; or Associate’s degree in secretarial science, business administration, or a related discipline from an appropriately accredited institution and four years of progressively responsible administrative/office management experience.

Position Description

Provide the support, management and organization of various projects regarding Halifax Community College for the President, some of which require the utmost confidentiality. Utilize independent judgment that reflects the President’s priorities, Board of Trustees and the mission and goals of North Carolina Community College Systems.

Request and compile information from all HCC administrators, faculty, and staff to generate a monthly report of all activities related to the Strategic and Master Plan. The monthly reports are then used to assist in creating the President's Reports for various meetings such as the HCC Board of Trustees, and HCC Faculty Senate when needed. 

Provide the support, management and organization of various projects regarding Halifax Community College for the President & where appropriate for the Board of Trustees, some of which require the utmost confidentiality. Utilize independent judgment that reflects the President's priorities, Board of Trustees and the mission and goals of North Carolina Community College Systems and Halifax Community College. 

Provide information to other divisions as directed by the President. Respond to inquiries from various parties, internal or external, which do not require the direct attention of the President. 

Resolve issues as they arise. Coordinates the President's calendar, exercising independent judgment in setting priorities for the use of the President's time and in bringing special events and other items to the President's attention. Coordinate the President's interaction with vice presidents, deans and other personnel that report directly to the President.Maintain liaison with all levels of administration and faculty to coordinate and resolve problems and issues related to administrative matters of internal and external nature. 

Assist the President with projects through editing, document preparation, minute taking, and tracking of items due from other resources/departments. Compose letters, memos, reports, etc., for the President's review and/or signature. 

Receive and screen incoming correspondence, reports, and documents and identify those requiring the immediate attention of the President. Prepare correspondence for the President's signature or independently respond to routine correspondence and forward specific correspondence to other administrators for action or response.  

High priority items are flagged for immediate review and arranged in order indicating importance. Establish and maintain office files and records; assemble and combine information from these and other sources to complete requests. 

Complete and submit monthly annual/sick leave reporting forms for staff assigned to the HCC President's Office to Human Resources.  

Work closely with the President and Chairperson of the Board of Trustees to compile, organize, and prepare appropriate documents, Information and Action Items to be presented to the Board. 

Comply with the Open Governmental Proceedings Act by submitting all notices of meetings to the local media outlets.  

Make arrangements for facilities and set-up, conference calling, catering, parking, etc. 

Attend meetings for the purpose of taking and transcribing Minutes.  

Maintain all files and minutes from each meeting for approval by the Board of Trustees.

Other duties as assigned by the President.
