Qualifications

Education Minimum:  High School Diploma or higher with experience in business or general office technology.
 
Experience Minimum:  Three (3) to five (5) years that includes secretarial experience.

Preferred Qualifications

Education Preferred:  Associate Degree in business or office administration 

Position Description

Summary 
Provides office services by implementing administrative systems, procedures, and policies, and monitoring administrative projects.

Essential Duties and Responsibilities include the following.

  • Assist in implementation of educational and recreational programs and special activities for all audiences.
  • Utilize a variety of marketing outlets to promote educational offerings.
  • Maintain accurate program offerings on websites, social media, and marketing outlets.
  • Promotes Howell Woods educational programs to the public through newsletters, social media, and brochures.
  • Maintains inventory of necessary museum supplies and office supplies. 
  • Provide clerical and administrative support to the Director.
  • Collect, receipt, and deposit payments for all rentals and fees.  Processes and records checks, cash, and credit cards for daily deposits.
  • Use E-Procurement to procure necessary office supplies and resources for programs and educational exhibits.  Maintains office supply inventory.
  • Generate p-card approvals and monthly reports in Bank of America.
  • With the Director’s supervision, processes requisitions and service contracts.
  • With Directors supervision manages allocated budget for educational supplies and exhibits.
  • Phone management, answering all telephones and provides assistance daily to customers with questions or reservations. 
  • Gives presentations to civic groups, provides tours, and information for guests.
  • Ensure all public facilities are clean for customers.
  • Runs and maintain retail store to sale items to customers.  Order and restock items as needed.
  • Performs other duties as assigned by the Director.

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  
  • Ability to write routine reports and correspondence.  
  • Ability to speak effectively before groups of customers or employees of organization.

 
Mathematical Skills                                                  

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

 
Reasoning Ability                                                     

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  
  • Ability to deal with problems involving several concrete variables in standardized situations.

 
Computer Skills                                            
To perform this job successfully, an individual should be familiar with Microsoft Word, Excel, Power Point, Facebook, Twitter, and E-Procurement.
 
Certificates, Licenses, Registrations 
Secretarial or Business Degree Preferred.

Employee must have thorough knowledge of safety procedures related to high, precarious places; hazardous materials and blood borne pathogens; zoonotic diseases; venomous plants, insects and animals; fumes or airborne particles; and extreme heat.   The noise level in the work environment can be loud.  First Aid, CPR and/or Wildlife First Responder Training is highly recommended. 
 
The noise level in the work environment is usually quiet.
