Education Minimum:  Associate degree or equivalent from a 2-year college or technical school. 

Experience Minimum: Two  (2) to five  (5) years of Continuing Education and/or Curriculum experience.     

Preferred Qualifications

Experience Preferred: Three to five years of experience involving student records and registration in Continuing Education and Curriculum within an educational institution. Spanish speaking. 

Position Description

Summary:

Performs college registration activities, assists with student advising, registration, records management, processing transcripts and data enrollment within FERPA guidelines.

Essential Duties and Responsibilities include the following:

  • Processes all Continuing Education and Curriculum registrations and record requests at the Student Success Center.
  • Works with Student Success Center advising and career counseling personnel to offer guidance and assistance with continuing education and curriculum course and program offerings.
  • Assists with a variety of duties within the Success Center for all Continuing Education and Curriculum registration and record functions.
  • Advises Continuing Education students with pre-admission, admission, and program requirements.
  • Assists in transitioning Continuing Education students to Curriculum programs.
  • Performs all duties within the Continuing Education and Curriculum student records process that includes:  registering students for classes, printing and distributing rosters and printing schedules on demand.
  • Maintains communication within various platforms such as Signal Vine and Regroup.
  • Performs scanning and archiving of documents with Data Base Management System.
  • Fulfills all requests for Continuing Education, Curriculum, and Basic Skills transcripts using an electronic platform.
  • Processes a variety of forms for students, other higher education institutions, and outside agencies such as enrollment status, consortium forms, and insurance verification.
  • Trouble shoots issues with Self-Service for students, faculty, and staff including any questions or concerns that arise.
  • Provides guidance and instruction to faculty, staff, and students concerning course substitutions, crosswalks, and graduation readiness.
  • Completes all Career and College Promise processes including: registrations, schedule adjustments, prints schedules, prints transcripts at the end of each term
  • Collaborates with all personnel within the Career and College Promise program, Early College Academy, Career and Technical, Leadership Academy and all high school students.
  • Collaborates with personnel within the Admissions and Student Engagement and Financial Aid departments for report processing and error correction.
  • Processes all student, instructor drops, and reinstatement forms during the semester.
  • Enforces all FERPA guidelines.
  • Manages foundation scholarship funds issued to eligible Continuing Education students.
  • Manages Ed2go Continuing Education registration process.
  • Collaborates with Business Office regarding Continuing Education and Curriculum student financial accounts.
  • Collaborates with Financial Aid Office regarding Continuing Education and Curriculum student account information.
  • Assists in non-credit course packet close out procedures according to State Board Code.
  • Assists with balancing payroll of continuing education faculty.
  • Assists with preparing and reviewing the continuing education ICR.
  • Manages CE duplicate account process.
  • Assists in Self-Service demographic clean up.
  • Serves as back up for other Records and Registration Specialists.
  • Performs all duties as assigned.

Supervisory Responsibilities: This job has no supervisory responsibilities.

  • Ability to communicate effectively with students, faculty, staff, the general public and other institutions.
  • Ability to write simple correspondence.
  • Ability to effectively present information to a group or one-on-one pertaining to areas on campus as well as to the general public.

Computer Skills:

To perform this job successfully, an individual should have knowledge of Colleague, Signal Vine, Re-Group, On-Base, Credential Solutions, Microsoft Suite.
