Position Description

DEFINITION:

To perform a variety of record keeping functions, including the maintenance of departmental and Nursing/Health Sciences programs records, to provide specific information and assistance to the general public regarding admissions procedures and criteria for all Nursing/Health Sciences programs; coordinate information sessions and disseminate programs’ specific packets to students. This position will be a member of the Centralized Health Science Enrollment team (HSEC).

 

SUPERVISION RECEIVED AND EXERCISED:

  • Receives general supervision from the Lead Counselor, Health Science Center. 
  • Exercises no supervision.

 

Duties & Responsibilities (Essential Functions)

 

ESSENTIAL AND OTHER IMPORTANT FUNCTIONS STATEMENTS:

Essential and other important responsibilities and duties may include, but are not limited to, the following:

Essential Functions:

  • Process a variety of regular and confidential documents including general correspondence, (internal and external), forms, minutes and emails/memos; prepare copies of documents; distribute information.

 

  • Process all Nursing/Health Sciences correspondence:  invitation to pre-assessment of point count emails, acceptance emails, alternate emails and two types of reapply emails.

 

  • Type/word process, collate, and distribute all medical information for Directors, Lead instructors, HSEC staff, and students during the program application periods.

 

  • Answer phone; convey telephone messages; respond to requests and inquiries from students, faculty and staff.  Provide program specific information and give program specific directions.

 

  • Coordinate and participant in annual review and revision of medical information packets with HSEC staff, Director, and Lead instructors of each medical program.

 

  • Prepare all information needed for the application process for at least fifteen medical programs--- information packets,   Intent to Apply forms, point count total forms, and PSB study guide and info sheets.

 

  • Receive, process, and file confidential student information from accepted Nursing and Health Sciences applicants such as observation forms, acceptances and decline information.

 

  • Prepare and request program surveys for all programs (to be emailed to students during point count assessment).

 

  • Maintain records for student reference and prepare statistical reports as needed and required by Dean of Enrollment Management; gather and compile the required information as necessary; sort and scan documents and records according to standard policies and procedures.

 

  • Maintain complete, accurate, and up-to-date records (including curriculum coding) for all students accepted and entering health science programs each Fall and Spring semesters.

 

  • Assist with on and off campus recruiting programs and efforts, such as county school health fairs in New Hanover and Pender Counties, as needed.

 

Other Important Functions:

  • Assist faculty, administrative staff and students with various support tasks including accessing information.

 

  • Establish and maintain a complex scanning data retrieval system.

 

  • Maintain an inventory of selected program forms as well as institutional forms.

 

  • Answer telephones and dispense appropriate and accurate information for incoming calls.

 

  • Participate on various college committees and other institutional activities.

 

  • Perform related duties and responsibilities as required.

 

  • Perform other related duties and responsibilities as assigned

 

Qualifications

 

QUALIFICATIONS:

Knowledge of:

  • Principles and procedures of record keeping.

 

  • Basic principles of business letter writing and report preparation.

 

  • Advanced computer skills, techniques, and programs

 

  • Basic mathematical operations necessary for compiling required reports and general problem solving.

Ability to:

  • Interpret and apply the policies and procedures of the function to which assigned.  Read written communications, analyze, and interpret both verbal and written communication.

 

  • Perform administrative activities including the maintenance of appropriate files and compiling information for reports.

 

  • Respond to program specific inquiries and requests for information.

 

  • Establish and maintain cooperative working relationships with those contacted in the course of work

 

  • Interpret and apply CFCC goals, objectives, policies, procedures, rules, and regulations

 

  • Maintain effective audio-visual discrimination and perception needed for:
    1. Making observations
    2. Reading and writing
    3. Communicating with others
    4. Operating assigned equipment
    5. Handling varied tasks simultaneously
  • Maintain physical condition appropriate to the performance of assigned duties and responsibilities, which may include the following:

EXPERIENCE AND TRAINING GUIDELINES:

Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying.  A typical way to obtain the knowledge and abilities would be:
