Minimum Qualifications

  • Associates Degree in Business Administration, Human Resource Management, or other related field, AND.
  • Five years full-time administrative experience in a human resources office, as a paralegal or other similar position.

Preferred Qualifications

  • Bachelor's Degree;
  • Previous experience (1-2 years) working in the field of Human Resources with emphasis in employment or recruiting: demonstrated organizational skills and the ability to prioritize tasks and meet deadlines; general knowledge of Human Resource practices and procedures; effective oral and written communication skills, superior interpersonal and team-oriented skills;
  • Also, prefers a general understanding of the College's organizational set-up and policies/procedures.
  • Certification with SHRM or IPMA-HR.

Position Description

The Human Resources Coordinator (Adjunct & Part-time Employment Coordinator) assists the Director of Human Resources with all HR functions and performs a full range of duties in the areas of the employment, collecting and maintaining data related to adjunct and part-time employees, preparation of related reports; and confidential and complex technical and administrative duties.  Provides accurate and timely service to the various customers served by this position.

Occasional travel to other campus sites is required.  Travel for overnight conferences maybe required.

 

  1. Maintains complete confidentiality regarding employee and/or applicant information.
  2. Maintains HR employee files by keeping filing up-to-date. 
  3. Maintains a variety of databases and spreadsheets.
  4. Serve as primary contact to department chairs/program directors regarding proper adjunct and part-time employee recruitment procedures.
  5. Process employment application materials received, including scanning documents.
  6. Respond to inquiries from job search applicants.
  7. Reviews job announcement prior to posting for accurate salary ranges, verifying appropriate job duties, reviewing interview questions for appropriateness, verifying demand levels, etc.
  8. Ensures completion of reference and background checks and the on-boarding paperwork to include data entry of new employee information.
  9. Assists with completing new hire paperwork for new employees.  Collect and process new employee paperwork, to include ensuring new hire data is completed correctly and entered in the appropriate portals (E-Verify, criminal background investigations, etc.).
  10. Retrieves and distributes incoming and outgoing mail from the mail room
  11. Assists internal and external customers through email, walk-in, and phone.
  12. Assist with maintenance of personnel files, ensuring training certificates, Affordable Care Act and other notices, and necessary documentation is included and in compliance with SACSCOC, and any applicable federal and state laws.
  13. Perform advanced clerical duties, including creation of spreadsheets/data bases, memos, letters, forms, and Word documents, typing, copying, filing, and answering the telephone.
  14. Maintain internal employee directory; assist with college telephone directory and organizational chart information.
  15. Prepare purchase requisitions and place orders for Human Resources supplies; request budget amendments and/or adjustments as needed.
  16. Processes, tracks, and maintains incoming official and unofficial transcripts for new employees. Track licensure/certifications.
  17. Ensure compliance with all federal, state, and local employment law (ex. ADA, FLSA, EEO, Title VII, FMLA, etc.); remain current with changes in law and manage relationships with federal, state, and local regulatory agencies.
  18. May serve as Coordinator for one of the following HR programs:  Shared Leave, FMLA, Workers Compensation, Drug Testing program, Affordable Care Act, or Foreign Nationals.
  19. Trains staff and faculty on Applicant Tracking System (NEOGOV) as needed.
  20. Provide switchboard relief as scheduled.
  21. Complete projects as requested by the Director of Human Resources
  22. Serve on College committees as assigned.
  23. Complete the annual five-hour staff development requirement.
  24. Submit records and forms in a timely fashion as required in the policy and procedures manual.
  25. Encourage and support College activities, policies, procedures, and philosophies.
  26. Actively participate in professional organizations. 
  27. Performs other duties as assigned.
