Minimum Qualifications
- Associate’s degree in or related to Human Resource Management from an accredited educational institution.
- Three to five years of experience in HR data management, preferably in a higher education setting.
- Must have two to four years of HRIS experience; Datatel experience strongly preferred.
- Familiarity with Applicant Tracking systems; NeoGov experience preferred
- Experience with document scanning, storage and indexing systems; Laserfiche experience helpful
- Demonstrated ability to handle confidential information with absolute discretion.
- Demonstrated proficiency in Microsoft Office and strong computer, data entry skills.
- Excellent verbal and written communication skills.

Position Description
The HR Data Coordinator (HRDC) is responsible for gathering, auditing, processing, and maintaining confidential employee data & records. The HRDC maintains and updates employee data to accurately complete annual reports such as the Staff Information Report (SIR), and Integrated Postsecondary Education Data System (IPEDS) report. The HRDC maintains a records retention schedule consistent with the NC Community College System and applicable state or federal law.
Essential duties and responsibilities:
- Collects, organizes and maintains employment-related documents for HRIS (Datatel) data entry and reporting
- Assists with data collection for annual Staff Information Report and IPEDS Report
- Serves as the HR department’s technology tester for new Datatel (HRIS) system patches, updates and enhancements before they are released to a production environment.
- Uses document imaging system software (Laserfiche) to scan and index files
- Works with HR Coordinator to insure prompt and accurate flow of employee documentation for monthly payroll data entry
- Enters employee data in Datatel for new and/or rehired employees as needed or assigned
- Enters E-Verify verifications and other benefit enrollments as needed or assigned
- Ensures compliance with the E-Verify program
- Assists HR staff with various data analysis needs and surveys, including standard and ad-hoc report creation and maintenance
- Assists colleagues serving on search committees with Applicant Tracking Software (NeoGov)
- Maintains the College’s Organizational Chart
- Conducts regular and as-needed employee file audits to ensure proper documentation has been collected and reviewed, such as I-9s, employment offers, annual letters of intent, and any missing documentation.
- Creates and maintains a records retention schedule consistent with the NC State Board of Community Colleges Code and state and federal law.
- Assures proper storage, organization and retrieval of HR records.
- Partners with payroll on data/records-purging processes.
- Serves as a resource for faculty and staff on issues associated with employee files, Datatel records, and other confidential documents.
- Working with the Director of HR, Public Information Officer, President or VPs, coordinates fulfillment of public information requests in a timely manner.
- May assist, as needed, with coordination of special events such as benefits fairs or other HR-related training.
- Provides coverage for the HR reception desk as needed.
- Reporting to the Director of HR, performs additional duties as assigned
