Minimum Qualifications

Associate’s degree

Must maintain a high level of privacy, confidentiality, and integrity in handling sensitive issues and information

Strong organizational skills with the ability to prioritize and handle multiple tasks with attention to detail and deadlines

Evidence of strong interpersonal and problem-solving skills

Ability to effectively communicate orally and in writing

Demonstrated proficiency in Microsoft Office and data entry

A minimum of three yrs experience in detailed administrative or technical work

Preferred Qualifications

Bachelor’s degree/human resources coursework

Colleague experience

Experience in HR/Benefits and related databases and applicant tracking

Community College experience

Experience editing webpages

Position Description

The HR Specialist reports to the Director of Human Resources and is responsible for performing detailed functions and processes to support the operations of the Office of Human Resources. The HR Specialist serves as initial point of contact for office related inquiries from employees and the public.

  • Maintain strict privacy and confidentiality of information at all times
  • Conduct new hire orientations; communicate with relevant persons to ensure a seamless and welcoming experience
  • Organize and maintain sensitive and confidential documents, records and personnel files electronically and hard copies as required
  • Process completed part-time employment packets and communicate approved start date to hiring managers
  • Process state and supplemental benefit enrollment and terminations according to procedure
  • Process approved credentialing documentation (official transcripts, licenses, certifications, etc.) and ensure all required official documentation is on file
  • Serve as the designated Worker’s Compensation Administrator for employees
  • Create and maintain various lists and spreadsheets for reporting purposes
  • Maintain up-to-date Office of Human Resources web page and employee portal information including pertinent directories, forms, and benefit links
  • Provide administrative support to Office of Human Resources (filing, scanning, data entry, reporting, answer phone calls, walk-in, and e-mail inquiries)
  • Conduct criminal background checks through the approved vendor at hire and annually
  • Maintain up-to-date position descriptions as approved by Director of Human Resources (electronic and main file)
  • Initiate Colleague accounts for employees and initiate, add, delete, and/or change employee network access as authorized
  • Process updates and changes in employee data regarding employment, promotions, transfers, terminations, and other related transactions in a timely manner. Coordinate and process employee introductory period status changes as authorized
  • Submit online NC State Directory of New Hires reports and a maintain hard copy file
  • Secure screening committee agreements with approved members and providing application access
  • Coordinate drug screening appointments and verify drug screens are completed in a timely manner
  • Coordinate Office of Human Resources annual events such as Administrative Professional’s Day and vaccination clinic
  • Verify accuracy of I-9’s for employment eligibility, enter into time-sensitive E-verify system, and maintain I-9 files separately for federal audit purposes
  • Complete and submit various external requests for employee information as approved by the Director (including routine verification of employment forms, public record requests)
  • Create, update, and publish various HR forms, spreadsheets, and organizational charts as needed
  • Maintain up-to-date knowledge of benefit processes and assist with open enrollment periods
  • Assist Director in scheduling interviews and pre-employment reference checks as requested
  • Serve as an ex officio screening/interview committee member as delegated by the Director
  • Open, sort, screen, and distribute mail as needed
