Minimum Qualifications

  • Associate degree from a regionally accredited institution 
  • Proficiency in Microsoft Office software and the use of other office equipment to include fax machine, photocopier, calculator, scanner, and videoconferencing and telephone systems
  • Excellent typing, public relations, communications, and problem-solving skills 
  • Strong organizational skills with attention to detail 
  • Ability to maintain a high level of confidentiality 
  • Working knowledge of the Datatel Colleague system is preferred

Position Description

The Instructional Assistant for Arts and Sciences provides support to the instructors who teach in the Arts and Sciences area and to the Dean of Arts and Sciences. In addition to performing general office duties for the instructors, he/she will also manage various budgets and order supplies necessary for the smooth operation of the department.

The duties of the Instructional Assistant include, but are not limited to:

  • Manage all aspects of the budget entries and maintain accurate balance on a daily basis 
  • Process any supply/equipment requisitions by instructors or staff 
  • Use the Datatel system to manage purchase orders, account balances, student records, and class schedules 
  • Answer phone, take messages, and deliver messages to classrooms or the Dean as necessary 
  • Greet students and visitors 
  • Assist the Dean in correspondence of budget revision creation 
  • Ensure program chairs are informed about their budget balances in conjunction with the Dean 
  • Create spreadsheets or documents as needed 
  • Ensure all leave forms, waiver and substitution forms, travel forms, etc., are submitted to the appropriate person in a timely manner 
  • Track leave forms submitted by Arts and Sciences instructors and staff
  • Keep all files up to date as it relates to budget books, semester schedules, records and reports, and all other daily records as assigned by the Dean 
  • Keep a checklist of all classes and paperwork that is turned in each semester as back up to the electronic records. This includes attendance sheets, final grades, 10% forms, and final exams.
  • Keep log of instructor schedules, make room charts each semester, and post information on respective classroom doors as needed
  • Maintain student time records 
  • Maintain an adequate inventory of supplies for the instructors and dean
  • Order additional supplies as needed
  • Process mail daily
  • Maintain log book of laptop, projector, or other electronics use 
  • Assist students when needed
  • Assist the Dean and Department with events as needed (i.e. Phi Theta Kappa, Recitals, etc.)
  • Other duties as assigned by the Dean of Arts and Sciences

Working Conditions:

  • Typical office environment 
  • Frequently sitting at a desk or workstation using a telephone, computer, keyboard, and mouse; some standing and walking
  • Infrequent lifting of up to (but not limited to) 30 pounds
