Position Description
To perform a variety of responsible and confidential administrative, clerical, and special projects duties in support of the Vice-President of Teaching and Learning, Dean, Associate Dean(s), and Department Heads of an academic school; to provide information and support to the aforementioned individuals in addition to faculty members, staff members, students, and the general public.
Participate in the maintenance of regular and confidential departmental files, charts, reports, records, and other data; gather and compile the required information as necessary; sort and file documents and records according to standard policies and procedures; input various information into computer; download, print, sort, and file materials, as appropriate.
Field email and telephone calls related to the academic school; respond to sensitive complaints and requests for information from the general public, business and industry, students, faculty, and staff; resolve concerns and complaints; refer inquiries, as appropriate.
Greet and assist visitors; answer questions in a courteous manner; provide information within the area of assignment.
Operate a variety of office equipment including a phone system, copiers, facsimile machines, and computers; input and retrieve data and text; utilize various computer software programs.
Make and coordinate travel arrangements for academic school constituents.
Coordinate supply orders for all departments within the academic school; maintain a central repository of supplies; assist with distribution and inventory of supplies.
Coordinate and assist with workshops, training, seminars; make logistical support arrangements including room reservations, catering, registration, materials, cleaning, etc.
Perform other duties as assigned.
