  • One to two years of responsible technical or clerical experience involving public contact.

Preferred Qualifications

  • Bachelor’s degree from an accredited institution in human services, or related field of study.
  • One year experience in an educational/human services setting is preferred. 

 

  • CPR and First Aid Certification is preferred.

Position Description

DEFINITION: 

To perform a variety of general technical and clerical work in support of the Disability Support Services (DSS) office of Student Services; to provide general information and assistance to students, faculty, and staff regarding DSS policies and procedures; and to provide database management for all aspects of DSS Database.  

 

SUPERVISION RECEIVED AND EXERCISED:

 

  • Receive general supervision from the Disability Support Services Director.

 

  • Exercises no supervision.

 

Duties & Responsibilities (Essential Functions)

 

ESSENTIAL AND OTHER IMPORTANT FUNCTIONS STATEMENTS:

Essential and other important responsibilities and duties may include, but are not limited to, the following:

Essential Functions:

 

  • Work closely with CFCC’s technology support to install, update, and maintain DSS database.  

 

  • Monitor database efficiency; create query definitions that allow data to be extracted; train colleagues in how to input and extract data; develop protocols for data entry processes. 

 

  • Create and execute of all part-time contracts and pay sheet needs for specific unit.

 

  • Perform a variety of technical and clerical duties involved in serving students with disabilities, including preparation of regular and confidential documents such as reports, forms, letters, and memos from rough drafts or verbal instruction; prepare copies of documents; distribute information.

 

  • Verify and review forms for completeness and conformance with established regulations and procedures; update and maintain files; collect and process appropriate information; ensure that referring agencies receive appropriate forms and reports.

 

  • Assist faculty, administrative staff, and students with various support tasks including accessing computerized information and assistive technology.

 

 

  • Act as an intake specialist; answer phone; convey telephone messages; respond to requests and inquiries from students, faculty, and staff; provide routine information; give directions; deliver quality customer service; use critical thinking skills and problem solve when students present special needs (physical, emotional, etc.).

 

  • Participate in mail process; receive, sort, and distribute incoming and outgoing correspondence.

 

  • Maintain regular or confidential files, records, and other data; gather and compile the required information as necessary; sort and file documents and records according to standard policies and procedures; input various information into computer; download, print, sort, and file materials as appropriate; perform necessary tasks to keep confidential student records up to date.

 

  • Assist with the recruitment and hiring of Academic Aides; act as a substitute for academic aides, as needed.

 

  • Assist with administering exams to students who receive testing accommodations. Responsible for upholding the academic integrity of the exams as well as administering accommodations, which may include reading, scribing, or assistance with assistive technologies.

 

  • Ensure that CFCC students with disabilities are provided with approved accommodations for testing based on the students' documented disabilities

 

  • Develop, implement, and continuously update (when appropriate) the accommodated testing procedures at all CFCC Campus locations.

 

  • Coordinate appropriate test taking environments at Downtown, North, Surf City and Burgaw sites.  

 

  • Schedule and administer accommodated placement and PSB testing appointments for eligible students.

 

  • Distribute scores and provide additional feedback for students when needed.

 

  • Develop and implement test taking and study skills workshops for students with disabilities.

 

  • Provide training for qualifying students on the process of requesting/scheduling accommodated testing in DSS office.  

 

  • Participate in the maintenance of regular and/or confidential department files, records and other data.

 

  • Serve as a liaison between students on North Campus, Burgaw, Surf City and Downtown DSS office.

 

  • Create and maintain a safe and welcoming testing environment to students with disabilities.

 

Other Important Functions:

 

  • Prepare travel requests and reimbursement forms; complete necessary registrations; confirm reservations.

 

  • Prepare spreadsheet for location of students during emergency situations.

 

  • Prepare spreadsheet for students who have seizure protocol on file at DSS.

 

  • Maintain, order, and inventory office supplies, equipment, and student/office forms.

 

  • Maintain unit calendar and materials.

 

  • Assist with maintaining student documentation of disability-related absences.

 

  • Perform related duties and responsibilities as required.

 

  • Review and update procedural manual.

 

 

Qualifications

 

QUALIFICATIONS:

Knowledge of:

  • English usage, spelling, grammar, and punctuation

 

  • Modern office procedures, methods, and computer equipment

  • Section 504 of the Rehabilitation Act of 1973

 

  • Americans with Disabilities Act of 1990ADA Amendments Act of 2008 Computer Skills/ Assistive Technology

  • Interpret and apply the policies and procedures of the function to which assigned.

 

  • Perform general secretarial and clerical activities including the maintenance of appropriate confidential files and compiling information for reports.

 

  • Type and word process at a speed necessary for successful job performance.

  • Use and train students on the use of assistive technology

 

  • Coordinate work assignments with others.

EXPERIENCE AND TRAINING GUIDELINES:

Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying.  A typical way to obtain the knowledge and abilities would be:
