Minimum Qualifications

A bachelor's degree in allied health, education, counseling, psychology, or a related field; a master’s degree is preferred

Work Experience: 

Two years of successful admissions, advising, or counseling experience in a postsecondary institution or evidence of related experience; experience with limited enrollment programs including health sciences or career and technical education preferred.

Position Description

Do Great Things! Durham Technical Community College is hiring a Limited Enrollment Admissions Specialist in the Health and Wellness Department. The Limited Enrollment Admissions Specialist serves to support the admissions processes within the Health and Wellness and other Career and Technical Education departments. The Limited Enrollment Admissions Specialist provides application, enrollment, admissions, registration, and orientation support to students entering limited enrollment programs offered by the college. This position will work closely with the Admissions, Registration and Records (ARR) pathway liaisons to ensure a seamless transition from application to the college to program admission.  

 Examples of Duties:

  • In partnership with the Director, Health and Wellness Enrollment and Compliance, develop an admission and enrollment procedure for limited enrollment programs;
  • Provide enrollment, advising, and admissions guidance for students who need information about the enrollment steps or admissions process, or need help deciding a program of study or coursework offered by the college best suited to meet the students’ goals with emphasis on the Health and Wellness pathway;
  • Receive and process Health and Wellness admissions applications and communicate admissions status, registration procedures, orientation dates, and other critical information to students;   
  • Communicate admissions status to Health and Wellness Directors and actively work with programs on initiatives to increase enrollment;
  • Regularly monitor the CRM and communicate with students to ensure they are progressing through the program admission process;
  • Ensure proper security of Durham Tech’s student educational records in accordance with the Family Educational Rights and Privacy Act (FERPA), state law, community college system regulations, and college policies and procedures;
  • Abide by procedures/workflows for effective office management, and ensure accuracy of student records in Colleague, Durham Tech’s student information system, for compliance with all external accrediting and reporting agencies;
  • Participate as part of the unit’s team in planning and decision making for Health and Wellness and other CTE pathways;
  • Provide data needed for enrollment strategies, Perkins, and other required reporting;
  • Remain current in knowledge and skills via on-going professional development for student records management functions and admissions procedures in Colleague and other technical support;
  • Coordinate with college departments including Curriculum, Financial Aid, Admissions and Records, Success Coaches, Accessibility, and Counseling in order to meet student needs and promote student success;
  • Partner with other departments to coordinate activities to introduce students to available community services and campus resources;
  • Maintaining complete partnership, office and student records; pro­cessing reports, forms, and all other required paperwork in a timely, efficient manner, checking for the accuracy and com­plete­ness of all data;
  • Maintain proper communication and supportive relations at all times with all other units of the division and the college, providing assistance in carrying out their respective functions;
  • Participate in program, departmental, divisional and institutional meetings and other activities;
  • Assist in daily functions of the office, as needed, including front desk customer service, answering telephones, mailings, e-mail correspondence, data entry and retrieval, and file organization;
  • Be an integral part of the team and be available to provide student support services for the Health and Wellness Pathway;
  • Participate in department recruiting and other events;
  • Create and maintain a welcoming and positive relationship with visitors, students, and fellow employees and ensure the interaction is an efficient and valued experience;
  • Perform job duties and interact with all constituents in a manner that creates a friendly and supportive atmosphere for all; and,
  • Additional duties shall include other appropriate activities as assigned by the assistant deans, dean, vice president, and/or the president.

Knowledge, Skills, and Abilities:

  • A thorough understanding of and commitment to the community college mission and philosophy;
  • Solid understanding of college, state, and federal guidelines, policies, regulation, and legislation pertinent to ensuring integrity and retention of student records;
  • Ability to manage multiple tasks and meet multiple deadlines;
  • Personal integrity, honesty, and the ability to maintain confidentiality;  
  • Ability to establish and maintain effective communication throughout the college and the community with students, administrators, faculty, staff, and outside constituencies;
  • Proficiency with college student information systems (e.g., Colleague or Banner), software (e.g., Microsoft Office Suite), and document imaging systems (e.g., Softdocs, Etrieve);
  • Experienced with admissions, registration, and records policies, procedures, workflows, and systems including College Foundation of North Carolina (CFNC) and Residency Determination System (RDS) to request updates to student records in Colleague;
  • Ability to use the Customer Relations Management (CRM) system to monitor and communicate with students and prospects from application to program enrollment;
  • An affinity for organization, accuracy, and efficiency in a fast-paced environment.
  • Excellent interpersonal skills, customer service skills, oral and written correspondence skills, and public relations skills;
  • Knowledge of, and sensitivity to, the unique needs and expectations of students, faculty, and staff, as well as community groups;
  • Ability to work with and support a diverse student population.
