Minimum Qualifications
Bachelor’s degree, preferably in business administration or a related discipline from an appropriately accredited institution and two years of progressively responsible administrative/office management experience; or Associate’s degree in secretarial science, business administration, or a related discipline from an appropriately accredited institution and four years of progressively responsible administrative/office management experience. Knowledge of Microsoft Suite and all applications; successful track record of providing management support in a complex, multi-faceted organization, preferably within higher education.
Have a strategic and analytical perspective in addition to broad knowledge of the operations of the College. Knowledge of Board meeting procedures, decision-making rules, governance policies and bylaws. Must be creative and enjoy working in a collegial environment that focuses on goal achievement. Requires ability to exercise good judgment in a variety of situations. Requires strong written and verbal communication, administrative, and organizational skills, and ability to maintain a realistic balance among multiple institutional priorities. Requires ability to work independently on projects, from conception to completion. Must be able to work under pressure and handle all confidential matters with discretion.

Position Description
- Maintain the President’s calendar
- Schedule appointments and meetings
- Promote positive public relations for the college as well as the Office of the President
- Prepare presentation materials for the President
- Direct the Processing of professional services agreements, invoices, requisitions, mail
- Coordinate all travel plans for the President and process all travel advance/reimbursement forms
- Compose correspondence, memoranda
- Serve as a liaison to other staff members
- Proactively identify matters that require the President’s attention
- Proactively initiate appropriate correspondence from the President to community partners
- Prepare agenda, record and maintain minutes for weekly College Leadership Team meetings, monthly College Council meetings, and other committee meetings as required by the President
- Ensure that all documents that require the President’s signature are signed and returned to the proper person
- Ensure files for the President’s office are accessible, archived, retained and disposed of according to established practices and schedules
- Answer phone, relay messages to appropriate personnel
- Direct and coordinate required procedures to ensure effective operation of the President’s office
Special Projects
- Serve on Committees as assigned
- Coordinate college meetings, receptions, and conferences
- Assist with off-campus requests in the coordination of meetings, conferences
- Troubleshoot for faculty, staff, students, and public sector when they run into roadblocks regarding college policy and procedures.
- Maintain Robeson Community College Board of Trustee organizational charts as needed
Duties related to support for the Board of Trustees and College related entities
- Serve as Liaison and Recording Secretary to the Board of Trustees
- Record, maintain, and archive materials and minutes for Executive Committee, Finance Committee, Building and Grounds Committee and other committees that may be established by the Board of Trustees, Board Meetings, and Board Retreats
- Develop calendar and posted notices for Board of Trustees meetings
- Assist with preparation of agenda and meeting materials for committee and Board meetings and distribution to Board members, media, and designated college personnel
- Prepare materials and attend all Committee and Board meetings
- Coordinate and assist in planning all functions for Board Work Sessions and retreats
- Track and facilitate statutory obligations and reporting requirements of the Board of Trustees
- Ensure that all documents that require the Board Chair’s signature are signed and returned to the proper person
- Maintain current list of Trustees and their mailing address, email address and phone numbers
- Coordinate all travel plans for the Board of Trustees
- Process all travel advance/ reimbursement forms for trustees
- Maintain all files for trustees
- Assist trustees with special projects
- Schedule the use of the Board Room
- As needed, act as liaison between the President and students, faculty, staff, Board of Trustees, business and government officials, and the general public.
- Perform confidential and other duties as assigned by the President and Board of Trustees.
- Demonstrate and model the college’s employability skills: adaptability, communication, information processing, problem solving, responsibility and teamwork.
