Minimum Qualifications

Position Qualifications

Required:

Master’s degree from a regionally accredited institution with at least two years of leadership experience in student records or the registrar function or a Bachelor’s degree from a regionally accredited institution with at least five years of progressive experience in student records or the registrar function.

Demonstrated proficiency and commitment to using technology, particularly student information systems, reporting software, and MS Office Suite

Demonstrated ability to lead and work collegially with others in a team environment.

 

Preferred Qualifications

Preferred:

Experience with curriculum, continuing education, and basic skills records and registration processes

Experience with Ellucian Colleague and Entrinsik Informer

Experience with prior learning assessment

Position Description

The Director, Student Records and Registrar provides leadership and management for the policies, practices, staff, and systems that maintain and evaluate official College student records.  The Director reports to the Dean, Enrollment Services and has the following responsibilities:

 

Leads the Student Records office through appropriate planning, completion of scheduling activities, and assuring adequacy of supplies, equipment, and facilities.

Ensures the integrity, accuracy, and security of all academic records of current and former students.

Serves as Family Education Rights and Privacy Act (FERPA) officer for the College and adheres to FERPA regulations regarding the maintenance, security, and confidentiality of all student records.

Serves as the College Registrar and accurately evaluates, interprets, articulates, and adheres to applicable federal, state, and College policies and procedures regarding student records and registration.

Provides leadership in the management of student records, registration and compliance requirements for curriculum and non-credit course/programs and assists in audits involving student records.

Oversees credentials evaluation program and credit awarding policies and practices including transfer credit and credit for prior learning.

Serves as Student Data Owner by approving and reviewing Colleague access managed by Information Technology and reviewing/testing Colleague weekly software enhancements.

Oversees and manages the evaluation of academic records of candidates for graduation; preparation of the commencement list and designation of honors and high honors; and production of diplomas.

Serves as a liaison with relevant community agencies, senior colleges and universities, businesses, industries, secondary schools, and peer institutions regarding student records.

Critically evaluates enrollment practices and College processes and provide ideas for improvement when needed.

Supervises student records staff. Oversees and assists in the training, professional development, and ongoing management of staff, including timely feedback and annual performance reviews.

Maintains professional and technical knowledge by participating in professional development appropriate to the functions of the position.

Represents Student Records in College planning processes and decision-making.

Responds to external and internal requests for information in a timely manner.

Provides leadership in aligning the Student Records Office with College competencies and the achievement of strategic initiatives.

Maintains sensitivity, understanding, and respect for a diverse academic environment, inclusive of students, faculty, and staff of varying social, economic, cultural, ideological, and ethnic backgrounds.

Supports the mission, vision, and values of the College.

Performs other tasks as assigned which support the purpose and initiatives of the College
