Minimum Qualifications

EDUCATION REQUIREMENTS: 
Required: High School Diploma/Equivalency 
 
WORK EXPERIENCE: 
Required: A minimum of two years general clerical experience. 
 
Intermediate experience in Microsoft Office Word, Outlook, and Excel. Communication, both oral and written, skills necessary. Creativity and openness to change.

Preferred Qualifications

EDUCATION REQUIREMENTS: 
Preferred: Completion of an Associates degree in a related field from a regionally accredited institution. 
 
Career Readiness Certification preferred (please contact BCCC Continuing Education at 252-940-6375 for guidance in obtaining your Career Readiness Certification). 
 
WORK EXPERIENCE: 
Preferred: Five years of documented clerical experience working with adults in an educational setting. Knowledgeable about the Continuing Education registration requirements of the NC Community College System. Prior experience with Colleague, the College Computer Information System (CIS).

Position Description

Under the direction of the Continuing Education Records Specialist, the Continuing Education Registration and Records Clerk works cooperatively with BCCC faculty/staff to perform the following: 
 
• Meet, greet, and put visitors of the Division of Continuing Education and the College at ease by answering questions and responding to any questions regarding services. 
• Maintain a neat and tidy foyer and registration area within BCCC Building 8. 
• Receive all incoming calls to the Division of Continuing Education, answer questions, forward calls, or take messages as necessary. 
• Cashier for class registrations and course fees. 
• Verify cash at the beginning and end of each shift, complete cash reports, and prepare the deposit at the end of shift. 
• Open BCCC Building 8 daily by checking all classrooms to ensure computers are powered on, projector remotes are present on computer station, instructions for network access posted for instructors and students, white-erase board supplies present, smartboard powered on with pens available, and rooms are neat and tidy. 
• Serve as the room scheduler for Building 8 (with the exception of the Auditorium). 
• Maintain and up-to-date room calendar for each class scheduled in a building 8 classroom. Make all necessary changes daily. 
• Maintain and update the Continuing Education weekend class calendar for the BCCC police department. 
• Maintain and schedule the Continuing Education vehicle outlook calendars. 
• Process all mileage logs and fuel receipts for Continuing Education vehicles. 
• Registration for all Public Safety courses. 
• Process Continuing Education transcript requests. 
• Process and mail Continuing Education Certificates of Completion. 
• Provide clerical support functions including make copies, run reports, fax, and mail distribution. 
• Maintain student, instructor, and staff confidentiality. Consistently monitor work area to ensure instructor and student data is being protected according to Family Education Rights and Privacy Act (FERPA) regulations. Participate in annual FERPA training. 
• Serve as the BCCC Campus Security Authority representing the Division of Continuing Education with the BCCC Police Department. 
• Serve as the clerical support designee for the Director of Law Enforcement Training. 
• Multi-task, prioritize, and manage time effectively. 
• Adapt and respond to changing work situations and environments in a positive manner. 
• Identify and improve upon internal work-flow procedures in an effort to provide improved customer service to Continuing Education customers, both internal and external. 
• Serve on college committees as requested. 
• Participate in professional development activities designed to enhance job skills and knowledge, as agreed upon by the employee and supervisor 
• Interact with students, the public, the community, and co-workers in a cooperative, courteous and professional manner 
• Comply with the College’s policies and procedures. 
• Perform related duties and responsibilities, as assigned by supervisor
