Minimum Qualifications

Associate degree in secretarial science, administrative office technology, or a related field and three to five years of secretarial experience; or any equivalent combination of education and experience which provides the required skills, knowledge, and abilities.  Must have good public relations skills and must be able to type at the corrected rate of sixty words per minute.

Preferred Qualifications

Physical Requirements:   Must be physically able to operate a variety of automated office machines including copier, computer, typewriter, etc.  Must be physically able to exert up to ten pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.  Position involves mostly sedentary work which requires sitting most of the time, but may involve walking, standing, or stooping for brief periods of time.  Must be able to lift and/or carry weights of approximately twenty pounds.
Data Conception:   Requires the ability to compare and/or judge the readily observable functional, structural, or compositional characteristics (whether similar to or divergent from obvious standards) of data, people, or things.
Interpersonal Communication:   Requires the ability of speaking and/or signaling people to convey or exchange information.  Includes the giving of instructions to students, the general public, etc.  Includes the receiving of information and instructions from supervisor.
Language Ability:   Requires the ability to read a variety of documents and reports.  Requires the ability to prepare and/or type documents and reports such as requisitions, applications, various forms, and general letters of correspondence, etc., using the proper format, punctuation, spelling and grammar.  Requires the ability to communicate with co-workers, supervisor, other College personnel, students, and the general public, etc. with poise, voice control, and confidence.
Intelligence:   Has the ability to apply rational systems such as computer operations, secretarial science, office technology, etc., in order to solve problems and deal with a variety of concrete variables in situations where only limited standardization exists; to interpret a variety of instructions furnished in written, oral, diagrammatic, or schedule form.
Verbal Aptitude:   Requires the ability to record and deliver information and to follow verbal and written instructions.
Numerical Aptitude:   Requires the ability to utilize mathematical formulas; add and subtract totals; multiply and divide; determine percentages and decimals; and determine time and weight.
Form/Spatial Aptitude:  Requires the ability to inspect items for proper length, width and shape.
Motor Coordination:   Requires the ability to coordinate hands and eyes in utilizing automated office equipment.
Manual Dexterity:   Requires the ability to handle a variety of items, office equipment, control knobs, switches, etc.  Must have moderate levels of eye/hand/foot coordination.
Color Discrimination:   Requires the ability to differentiate colors and shades of color.
Interpersonal Temperament:   Requires the ability to deal with people beyond receiving instructions.   Must be adaptable to performing under minimal stress when confronted with an emergency.
Physical Communication:  Requires the ability to talk and/or hear (talking - expressing or exchanging ideas by means of spoken words; hearing - perceiving nature of sounds by ear).

Knowledge of Job:  Has comprehensive knowledge of the practices, procedures, and purpose of the Division.  Has good working knowledge of clerical and secretarial practices and procedures as they apply to the functions of the position.  Has thorough knowledge of office practices and procedures and the care and use of a variety of office machines and equipment used in record-keeping, accounting and report preparation.  Has excellent computer operation skills.  Is familiar with the terminology used within the Division.  Is able to understand and apply established rules, procedures and instructions to the maintenance and preparation of financial records.  Has working knowledge of laws, rules, policies and regulations that apply to the functions of the Division.  Is able to collect, compile, and assemble information clearly and concisely.  Has the ability to apply commonsense understanding to perform repetitive tasks, and is able to use independent judgment in routine as well as occasional non-routine situations involving angry students.  Is able to perform required mathematical calculations quickly and accurately.  Is able to maintain standards of accuracy in all reports and accounts.  Has the ability to perform duties without the need for close supervision.  Has the ability to perform duties under stress related to handling special situations relative to loans and residency which arise during registration.  Is able to communicate effectively with various individuals from a variety of backgrounds as well as numerous Pitt Community College staff members.

Position Description

Under general supervision, provides administrative, secretarial, and clerical support to the Assistant Vice President of Information Technology & Services.  

Maintain departmental records, documentation purchasing and accounting information;
 
Keep staff informed of required administrative activities and deadlines and verifies that these activities are completed accurately.
 
Enters requisitions into the e-procurement system, track blanket purchase orders, annual hardware and software renewals and ensures submission of invoices to Accounts Payable representatives
 
Make required p-card purchases and complete sign-off process
 
Serves as the first point of contact for the office, schedules appointments, meeting rooms and responds to inquiries and/or directs individuals to the appropriate individuals as appropriate; answers the telephone and handles calls, takes messages, or directs calls as appropriate.
 
Schedules appointments, arrange travel itineraries, complete travel reimbursement forms and maintains the calendar for the Assistant Vice President of Information Technology and Services.
 
Maintain computer information data and extracts statistical data, reports, memorandums, letters, and other documents needed.  
 
Compose general letters of correspondence, sorts and distributes mail, maintains the inventory of office supplies. .
 
Files or routes correspondence and related printed material both within the OITS Department and throughout the College.
 
Performs a variety of general duties related to administrative tasks of the OITS Department and provides backup support for the Vice President of Administrative Services as needed.
 
Performs other duties as required.
