Senior Administrative Assistant - Instruction
SALARY:$35,000.00 - $38,000.00 Annually

OCCUPATIONAL SUMMARY:
The Senior Administrative Assistant is responsible for providing programmatic, instructional, and project support to the Vice President for Instruction and other Instructional staff members. Serves as a receptionist for the President’s suite, consistently setting a professional tone, both in personal behavior and telephone etiquette. This position maintains current general knowledge of appropriate college and departmental policies, procedures, and processes in an effort to ensure efficiency and integrity of the department.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Provides excellent customer service and assistance to internal and external customers visiting the Executive Suite
- Provides a prompt response to all inquiries whether in-person, by telephone, or via email; screens and directs a high volume of telephone calls, taking and relaying messages, and answering questions from students, employees and the general public
- Performs a wide variety of responsible clerical, technical, administrative and office support duties in support of the Office of Vice President for Instruction, such as filing, copying, collating, faxing, etc.
- Provides general clerical and administrative support to the department; composes and types correspondence; prepares a variety of reports, including technical and status reports
- Creates purchase orders through E-Procurement and requisitions for office supplies, memberships, and sponsorships
- Completes travel requisitions and travel reimbursements for the department
- Researches, compiles and summarizes data and information for special projects and reports
- Serves as back-up administrative support to the Executive Assistants within the suite, as needed
- Participates in appropriate committees and task forces as assigned
- Performs other job-related duties and projects as assigned in support of the College’s mission, core values and goals
MINIMUM QUALIFICATIONS:
Associate’s degree in Office Systems Technology, Business Administration, Information Technology, or closely related field from a regionally accredited institution of higher learning.

KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge
- Intermediate knowledge of clerical processes and procedures and standard office procedures; practices and equipment
- Intermediate knowledge of record control and statistical record keeping
- Advanced knowledge of business letter writing and report preparation
- Advanced knowledge of customer service principles

- Advanced computer skills and technical proficiency in Microsoft Office applications
