Minimum Qualifications

  • Bachelor’s degree in Marketing, Communication, Business Administration or related field.
  • At least 3-5 years of experience with fundraising, special events, management, public relations, and / or related activites. 
  • Superlative written and verbal communication skills.  
  • Excellent interpersonal skills
  • Inviting, enthusiastic, positive team player that is comfortable with students, colleagues, donors and Board Members. 
  • Broad knowledge of fundraising techniques and IRS regulations.
  • Competency in word processing, data management systems,  spreadsheet creation and desktop publishing.  
  • Ability to work independently with minimal supervision.
  • Demonstrated discretion in handing confidential information and sensitive materials

Position Description

With a great deal of independence, this position performs a variety of confidential and complex duties for the Vice President of Institutional Advancement. The Special Projects Coordinator is responsible for planning, coordinating and implementing fundraising campaigns and special events. This position coordinates the ACC Alumni Council and the Student Ambassador program. They plan, write and communicate ACC Foundation activities through a newsletter and a variety of social media. This person works as a member of a small team to maintain accounting controls and works directly with the ACC Foundation Board of Directors. The person in this position is responsible for preparing reports for the Vice President and for the ACC Foundation Board of Directors.

 

EXAMPLE OF DUTIES:

  • Plans, coordinates and implements 3-5 events annually for the ACC Foundation.  This includes coordinating logistical details and arrangements; pulling lists of invitees from the donor database; working with volunteers; overseeing the design of event invitations and related communications; maintaining RSVP lists; producing name tags; obtaining plaques for awards; helping to coordinate the event agenda; soliciting sponsors; ensuring all AV needs are met and function during events; coordinating refreshments / meals including ordering, delivery and service and all other event details.  
  • Plans, coordinates, and implements the ACC Student Ambassador program.  This includes soliciting student nominations, gathering a balanced team to assess the candidates, arranging for interviews, and overseeing the formation of a diverse class of 10-12 students each year.  This position is responsible for all leadership training and team-building activities for the ambassadors; helping them to develop their personal statements including video taping and providing feedback, and ordering ambassador clothing for a polished look.  Coordinates all ambassador speaking and hospitality assignments at the request of employees throughout the college and ACC Foundation Board Members.  Works with the ambassadors to conduct the Alumni and Friends campaign in the spring including pulling appropriate lists from the database, overseeing the designing of written and electronic communications, arranging for the ambassadors to make selected follow-up contact with prospective donors, and providing individual donor acknowledgement and recognition.  Ensures ambassador stipends are paid promptly and ensures ambassador information is included in the donor database.  
  • Coordinates the ACC Alumni Council including identifying a diverse group of approximately 20 members that represent various attendance years and programs.  The Alumni Council meets quarterly.  This position is responsible for assisting the members with choosing their own volunteer leadership.  They develop meaningful quarterly agendas including information about new initiatives at ACC and opportunities to serve as various College and Foundation events.  The ACC Alumni Council conducts ACC Day each year on the first Friday of Fall semester.  This position coordinates signage throughout the community; coordinates an online photo contest; encourages alumni participation worldwide, and works with SGA Coordinator to conduct parallel campus events.  This position also helps departments throughout the college hold student reunions.  
  • Oversees the ACC Alumni awards including distributing the nomination forms, soliciting nominations, responding to inquiries, working with the Vice President to select a nomination review committee, guiding committee members in their use of the Alumni Award rubric, working with the winners to develop recognition items, press releases and remarks at the annual Celebration of Excellence event.  Maintains strict confidentiality through the entire process. 
  • Oversees the creation of the quarterly Dividend newsletter which is distributed in conjunction with the College’s ACCess publication.  Writes articles about key donors, events, alumni and students and other relevant subject areas.  Designs layout and obtains appropriate high-quality photos.  Works with the ACC Public Information Office to format the publication for production and with the print center to create hard copies.  Oversees the distribution of the piece through Constant Contact or other mass email systems.  Pulls electronic and physical distribution address information from donor database.  
  • Responsible for active and engaging web and social media presence for the ACC Foundation and ACC Alumni Council.  Social media includes Facebook, LinkedIn, Twitter and other appropriate and emerging platforms.   Investigates and helps implement new channels for outreach and fundraising, especially those that appeal to younger alumni and donors.
  • Oversees all honor / memorial communications on behalf of donors.
  • Maintains alumni information in donor database, including requesting alumni data from the College twice annually and preparing for upload.  Updates individual alumni records in the database as information is shared through social media, obituaries, newspaper articles, and other sources.  
  • Helps maintain a pledge payment spreadsheet and creates monthly pledge invoices. 
  • Provides integral assistance with the Employee Giving Campaign and other fundraising efforts including making face-to-face solicitations throughout the community.  
  • Oversees special recognition items for members of the planned giving society, special donors, retirees, board members, etc.  
  • As a member of a small team, helps maintain accounting controls by making at least weekly bank deposits and has check signing authority
  • Runs reports from the donor database at the request of the Vice President and members of the ACC Foundation Board of Directors.  
  • Attends board and committee meetings. Takes minutes when necessary.
  • Some travel within the county.  Some work outside traditional hours.  
  • Other duties as assigned.

The position supervises the student Ambassadors
