Position Description

DEFINITION 

To coordinate the transcript evaluation process for students transferring to Cape Fear Community College.  This position will make a determination regarding transferable credit through examination of official transcripts and other official documents.  

SUPERVISION RECEIVED AND EXERCISED 

Receives direction from an Assistant Registrar. Directly supervises the part-time Transcript Evaluator

 

Duties & Responsibilities (Essential Functions)

Essential Functions: 

Evaluate the college and university transcripts of all students and determine what courses will transfer.  

Enter all transfer credit data into the student data system. 

Evaluate all transcripts for possible credit, to include AP, CLEP, and IB scores, as well as foreign, high school, and military transcripts. 

Determine if institutions are accredited and evaluate transcript coursework for equivalencies. 

Communicate and work closely with academic departments to include program directors, chairs, deans and VPs for course description reviews, special student requests, articulation agreements, as it relates to evaluation of credit. 

Supervise all processes and procedures concerning the evaluation of transfer credit and periodically evaluate and make changes in those procedures as needed. 

Assist with training Registrar’s Office staff on transcript evaluation processes. 

Generate transfer credit documents and notify students of the results of the transcript evaluation. 

Utilize the College’s imaging software to electronically file the evaluation results to the student records. 

Attend College Curriculum Committee meetings to stay aware of program and course changes/additions as needed and when requested by supervisor. 

Remain current with all curriculum program and course changes and share that information with others within Enrollment Services and other Student Services as needed. 

Maintain a detailed training and procedures manual for transcript data evaluation and entry. 

Maintain documentation for special transfer credit approvals. 

Work closely with the Graduate Completion Specialist on degree audit and transfer evaluation as it relates to Reverse Transfer initiatives. 

Work at the front Enrollment Services counter as needed. 

Participate in student services activities both during and outside of regular work hours when requested by the Assistant Registrar or Registrar. 

Utilize college software daily to include Ellucian Colleague, Softdocs/Etrieve Imaging software, TES (Transcript Evaluation System), Informer reporting software, Google. 

Required to maintain current in the required fields of professional expertise and competencies by participating in training, workshops, and industry recognized publications. 

Perform other duties and responsibilities as required.

 

Qualifications

 

QUALIFICATIONS 

Knowledge of: 

College policies and procedures regarding admission standards and educational program requirements. 

Microsoft Office Suite and Google Suite General educational requirements and academic grade and unit equivalents. 

Purpose and function of community colleges. 

Transfer requirements and procedures of regional four year educational institutions. 

Business letter writing and basic report preparation. 

Principles and procedures of record keeping. 

Modern office procedures, methods and computer equipment.

 English usage, spelling, grammar and punctuation.  

Ability to: 

Interpret and apply the policies and procedures of the college. 

Refer students to appropriate college staff for additional counseling, program advising, testing and related matters. 

Evaluate test scores and previous education and training. 

Maintain mental capacity which allows the capability of:

  •           making sound decisions
  •          demonstrating intellectual capabilities
  •           respond to questions 

Maintain physical condition appropriate to the performance of assigned duties and responsibilities which may include the following

  •          sitting for extended periods of time
  •          operating assigned equipment. 

Maintain effective audio-visual discrimination and perception needed for:

  •           making observations
  •           reading and writing
  •           operating assigned equipment
  •           communicating with others. 

Communicate clearly and concisely, both orally and in writing. 

Establish and maintain cooperative working relationships with those contacted in the course of work.
