Position Description
Pay Grade: Assistant 7
This position provides administrative support to the Dean, faculty, staff, public, students and other areas of the college. Provides and coordinates staff and office support.
Responsibilities and Duties (*Essential Functions)

Provides staff and office support for the Dean, to include screening and handling telephone communications, greeting and directing visitors, and dealing with administrative problems and inquiries.
Utilizes Microsoft Office Publisher, Word, Excel and Adobe Acrobat Illustrator to create flyers, postcards, guides, letters, memos, reports and other internal and external communication associated with Military and Veteran services and other student support departments
Coordinates the Dean's calendar of appointments
Collects time sheets, compensatory time sheets, and leave requests for the department, reviews for accuracy, and ensures that College deadlines for submission are met
Orders all office supplies for the service area and maintains an inventory of office supplies and use E-procurement for purchases
Manages acquisitions, interprets financial reports, and applies data to maintain budget balances
Works collaboratively with the Military and Veterans Services team to provide customer service to military and veteran students
Organizes and facilitates meetings and special events; schedules and coordinates dates and times, venues, attendance, agendas, and facilities; takes minutes, and provides administrative support and follow-up on matters arising from meetings
Assists with onboarding of new staff members and keeps the service area up-to-date on all staffing updates
Schedules and coordinates departmental appointments and/or travel arrangements, and coordinates and oversees daily office activities
Leads and guides the work of student employees, as appropriate
Assists with keeping veteran zones maintained, updated, and organized
Assists in appraising the accuracy of student files and offer corrective measures to improve deficiencies
Completes annual applied benchmark project on an individual or group basis
Qualifications: Knowledge, Skills & Abilities:
Intermediate skills with Microsoft Office products, particularly Word and Excel
Knowledge of federal and state financial aid programs
Be innovative, creative, and motivated
Exhibit good interpersonal skills and work well with others
Ability to maintain records accurately and be able to meet deadlines consistently
Good organizational skills
Ability to perform normal duties with minimal supervision
Excellent communication skills both written and verbal
