Minimum Qualifications

  • Associate degree in a business field or related work experience. 
  • Demonstrated work experience in computer systems administration with student records
  • Excellent organizational Skills
  • Communicate clearly and concisely, both orally and in writing.
  • Work independently in the absence of supervision.
  • Strong interpersonal skills resulting in ability to work cooperatively with various constituencies.

Preferred Qualifications

  • Bachelor’s degree preferred.

Position Description

This position under the supervision of the Director of Student Records/Registrar, the Registrar Specialist performs a multitude of tasks to support the Registrar’s Office. This position is responsible for assisting all current and prospective students, faculty and staff via phone, email, and in-person. This position requires an excellent general knowledge of the College, policies and procedures, and the ability to use critical thinking skills to resolve issues while performing the following functions:

Essential Duties:

  • Primary Processor of Admissions applications from CFNC and verification of NC residency (RDS) inputting all information into the Colleague.
  • Scan, image, and index all student official documents (including prospective, registered students) into the Imaging Software and uses quality assessment methods to ensure accuracy.
  • Process grade change request forms as needed. Follow-up with instructors on missing grades.
  • Serve as a primary processor for all incoming and outgoing college transcripts both electronic and paper copies. Prepare official and unofficial transcripts per request working within National Student Clearinghouse and Colleague. Review and log all incoming college transcripts daily into Colleague. Assist with the transcript evaluation processes by entering courses into Colleague for potential transfer credit.
  • Assist in processing Enrollment Verifications for students or third parties via National Student Clearinghouse and phone request ensuring adherence to FERPA.
  • Assists in curriculum registration and graduation activities.
  • Assist with student program corrections as it relates to state reporting (CCSR, ICR).
  • Assist with monthly reporting to North Carolina Community College System and National Student Clearinghouse.
  • Print and mail all departmental correspondence as needed by the office.
  • Print and mail all diplomas (degrees, certificates, and diplomas).
  • Serves on committees as assigned.
  • Greets and assists visitors, faculty, staff, and students.
  • Promptly respond to requests for information.
  • Enforces and explains catalog policies to students in a positive manner.
  • Performs other duties as assigned by supervisor.
